    Tectonic is seeking a full-time Legal Operations & Contract Administrator to support the General Counsel in the administration, review, coordination, negotiation support, execution, and management of contracts and legal documentation across the organization. 

    This position serves as a key resource for contract lifecycle management, legal operations, compliance coordination, and business support activities. The role works closely with Legal, Accounting, Human Resources, Project Management, Business Development, Operations, and Executive Leadership to facilitate efficient contract administration and organizational processes. 

    The ideal candidate has experience supporting commercial contracts, professional services agreements, legal operations, contract administration, procurement, or paralegal functions and thrives in a fast-paced, collaborative professional environment. This position provides exposure to legal, contractual, risk management, compliance, and business operations functions within a growing engineering and consulting firm. 


    ESSENTIAL FUNCTIONS
    • Administer and coordinate the full contract lifecycle, including intake, review, routing, negotiation support, execution, amendment tracking, and record retention.
    • Provide administrative and operational support to the General Counsel related to contracts, legal matters, compliance initiatives, and departmental projects. 
    • Assist with the preparation, review, tracking, and execution of professional services agreements, subconsultant agreements, non-disclosure agreements, amendments, purchase orders, and related contractual documents.
    • Coordinate contract reviews and negotiations among legal counsel, project managers, business development personnel, clients, subconsultants, and executive leadership.
    • Maintain contract status reports, tracking logs, contract repositories, legal databases, and document management systems.
    • Review contractual documentation for completeness and identify non-standard terms or missing information for attorney review.
    • Facilitate contract execution processes, including electronic signature workflows and document distribution.
    • Assist with qualifications packages, certifications, licenses, and other compliance-related requirements.
    • Prepare reports, spreadsheets, presentations, correspondence, and management summaries using Microsoft Office applications.
    • Support the development and maintenance of standard operating procedures, templates, workflow improvements, and contract administration processes.
    • Coordinate communication and documentation between Legal, Accounting, Human Resources, Project Management, Business Development, Operations, and Executive staff.
    • Maintain electronic and physical legal records in accordance with company policies and record retention requirements.
    • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
    • Support special projects and perform other legal, administrative, contract administration, and operational duties as assigned. 
    QUALIFICATIONS
    • Bachelor's Degree, Associate's Degree, Paralegal Certificate, or equivalent combination of education and relevant experience. 
    • 3-7+ years of experience in contract administration, legal operations, paralegal support, commercial contracting, procurement, contract management, or a related professional services environment. 
    • Experience administering professional services agreements, subconsultant agreements, non-disclosure agreements, amendments, purchase orders, and related contract documents preferred. 
    • Experience supporting contract review, negotiation coordination, contract tracking, and contract lifecycle management processes strongly preferred. 
    • Paralegal Certificate or legal studies background preferred. 
    • Familiarity with construction, engineering, architecture, environmental consulting, or professional services contracts is highly desirable. 
    • Experience supporting compliance activities, licensing, certifications, or similar functions preferred. 
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) with strong document production and reporting skills. 
    • Experience with contract lifecycle management (CLM), document management, electronic signature, CRM, workflow tracking, or contract repository systems preferred. 
    • Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines. 
    • Exceptional attention to detail and accuracy in document review, recordkeeping, and data management. 
    • Excellent written and verbal communication skills with the ability to interact professionally with internal and external stakeholders. 
    • Ability to work independently while effectively collaborating across departments and at all levels of the organization. 
    • Demonstrated ability to learn new systems, processes, contractual requirements, and business practices. 
    • Professional judgment, discretion, and ability to maintain strict confidentiality. 
    • Proactive, service-oriented approach with strong problem-solving and follow-through skills. 
    PHYSICAL REQUIREMENTS

    In order to perform the essential functions of this position, the candidate must be able to constantly assume a stationary position, and must handle and/or feel documents, materials, and/or equipment to perform necessary tasks, sometimes repetitively. The candidate must be able to occasionally maneuver within the office to access file cabinets, office machinery, etc., and may exert up to 10 lbs. of force occasionally. Constantly, they must be able to receive and convey detailed or important information with others via the Corporate e-mail system, telephone system, and in person.     PAY RANGE

    Tectonic’s goal is to compensate employees fairly and equitably across all positions Companywide. Our advertised pay ranges are representative of our good faith effort to provide a reasonable anticipated salary range. The offered pay may be outside of the provided salary range based upon the selected candidate’s work location, experience, education, certifications, and capabilities compared to the advertised position.

    Pay Range: $80,000 - $95,000 / year
