A law firm in Downtown Dallas is seeking a professional and highly organized Receptionist / Administrative Support Assistant. This position is responsible for serving as the first point of contact for clients and visitors while also providing administrative and operational support to attorneys, staff, and office management.
The ideal candidate will have at least one year of receptionist and/or administrative experience within a law firm and possess excellent communication, organizational, and customer service skills.
Responsibilities:
Greet clients, visitors, and vendors in a professional and welcoming manner
Answer and route incoming telephone calls
Coordinate conference room reservations and assist with meeting setup, catering, technology, and materials
Maintain the reception and conference areas to ensure a professional appearance
Assist with visitor access, parking validations, and other front-office needs
Provide administrative support to attorneys, staff, and office management
Prepare, revise, proofread, and format correspondence and legal documents
Assist with new client/matter intake and file opening
Process invoices and assist with expense-related tasks
Coordinate office maintenance requests and communicate with building management and vendors
Assist with filing, scanning, copying, mailings, and document organization
Support internal meetings, events, and special projects
Perform additional administrative and office support duties as needed
Qualifications:
Minimum of 1 year of receptionist and/or administrative experience in a law firm required
Strong customer service and interpersonal skills with a polished, professional demeanor
Excellent written and verbal communication skills
Proficiency in Microsoft Office, including Outlook, Word, and Excel
Ability to type approximately 55 WPM
Strong organizational skills and attention to detail
Ability to prioritize multiple responsibilities and work effectively in a fast-paced environment
Comfortable handling confidential and sensitive information
Ability to work independently while also being a collaborative team member
Experience with legal documents, client intake, conference services, or office operations is a plus
