Job Description:
A candidate that holds value; Customer First, Team player, Good Work Ethics and Punctual would be successful in this role. Also, must have law firm culture experience. Some physical effort required; lifting archive boxes that weight up to 50 lbs.

We are seeking a professional, customer-focused Receptionist to serve as the first point of contact for clients, visitors, and employees within a fast-paced law firm environment. This role is responsible for managing front desk operations, handling incoming calls and visitor services, coordinating administrative requests, and supporting office services functions while maintaining a high level of professionalism, confidentiality, and customer service.

Key Responsibilities
Answer, screen, and route incoming calls promptly and professionally while taking accurate messages.
Greet visitors, clients, and guests; notify appropriate personnel of arrivals and escort visitors to conference rooms as needed.
Manage building visitor access and maintain security visitor lists.
Open and secure the office entrance according to established schedules.
Maintain reception logs, site procedures, and receptionist documentation.
Manage the Reception inbox and coordinate communications through Outlook and the ARC phone system.
Process and track incoming deliveries, courier services, US Government Client, UPS, and FedEx packages using established tracking systems.
Coordinate courier services and car service requests for clients and staff.
Assist with meeting support and conference room scheduling through the Korbyt system.
Cross-train in office services functions and provide administrative support as needed.
Act as the primary point of contact in the absence of the Site Manager and assist the Senior Site Manager with special projects and additional duties.

Strong verbal and written communication skills with a professional and courteous demeanor.
Ability to multitask, prioritize work, and maintain attention to detail in a fast-paced environment.
Professional appearance and telephone etiquette.
Ability to maintain confidentiality and handle sensitive information.
Proficiency in Microsoft Word, including template creation, and Microsoft Excel for data entry and record management.
Dependable attendance and punctuality.
Ability to work independently and as part of a team.
Work Environment & Physical Requirements

This position is located within a professional law firm environment with a low-noise office setting. Daily work involves extensive use of computers, keyboards, copiers, and other standard office equipment. The role requires sitting for extended periods, up to 95% of the workday, and occasional lifting and moving of archive boxes weighing up to 50 pounds.
