Legal Receptionist & Switchboard

Pay Rate: $21.23 $23/hr, paid weekly
Schedule: Monday Friday, 7:30 AM 4:30 PM
Location: New York, NY 10036
Employment Type: Temp-to-hire
Dress Code: Black polo shirt, black pants, and all-black shoes or sneakers


Summary

Seeking a polished, customer-focused Legal Receptionist to serve as the first point of contact for clients, visitors, and employees in a fast-paced law firm environment. This position manages front desk operations, incoming calls, visitor services, deliveries, meeting support, and administrative requests while maintaining professionalism, confidentiality, and exceptional customer service.

Previous experience working within a law firm or legal office culture is required.


Key Responsibilities

  • Answer, screen, and route incoming calls professionally and take accurate messages.

  • Greet clients, visitors, and employees and notify the appropriate personnel of their arrival.

  • Escort visitors to conference rooms as needed.

  • Manage building access, visitor lists, reception logs, and security procedures.

  • Open and secure the office entrance according to established schedules.

  • Monitor the reception inbox and manage communications using Outlook and the ARC phone system.

  • Receive, process, and track courier, USPS, UPS, and FedEx deliveries.

  • Coordinate courier and car service requests for clients and employees.

  • Assist with conference room scheduling and meeting support using the Korbyt system.

  • Maintain reception procedures, documentation, and site records.

  • Cross-train in office services functions and provide administrative support as needed.

  • Serve as the primary point of contact when the Site Manager is unavailable.

  • Assist the Senior Site Manager with special projects and additional duties.


Qualifications

  • At least two years of related business or administrative experience preferred.

  • Previous administrative experience within a law firm or legal environment strongly preferred.

  • Associate or bachelor s degree preferred.

  • Exceptional customer service and interpersonal skills.

  • Strong verbal and written communication skills.

  • Professional appearance, demeanor, and telephone etiquette.

  • Ability to multitask, prioritize responsibilities, and maintain attention to detail.

  • Ability to maintain confidentiality and handle sensitive information.

  • Proficiency in Microsoft Word, including template creation.

  • Proficiency in Microsoft Excel for data entry and record management.

  • Dependable attendance and punctuality.

  • Ability to work independently and as part of a team.

  • Ability to lift archive boxes weighing up to 50 pounds.
