What You'll Do
As a Legal Secretary, you will be responsible for:
  • Preparing and revising legal documents, correspondence, memoranda, and emails, utilizing speed writing skills to maintain efficiency.
  • Handling e-filings and supporting all phases of the litigation process from initiation through trial.
  • Assembling documents and exhibits for court filings, hearings, arbitrations, mediations, depositions, and other proceedings.
  • Proofreading all documents to ensure accuracy, proper grammar, and compliance with firm formatting standards.
  • Creating and updating Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Scheduling and coordinating appointments, meetings, and deadlines for attorneys while maintaining attorney calendars diligently.
  • Managing client and matter intake procedures, ensuring accuracy and confidentiality.
  • Using legal software, transcription equipment, and the Microsoft Office Suite to produce and manage documents effectively.
  • Arranging travel logistics for attorneys, including hotel bookings, airfare, and transportation.
  • Sorting, reading, printing, and distributing incoming mail and emails to appropriate team members.
  • Assisting with the creation of marketing materials such as pitch folders, attorney bios, and PowerPoint presentations.
  • Providing backup support and overflow coverage for other attorneys and staff as needed.
  • Maintaining confidentiality of all client, firm, and personnel information.
  • Performing additional duties as required to meet the firm’s operational needs.

What You'll Bring
The ideal candidate will have:
  • A high school diploma or equivalent.
  • At least five years of litigation secretary experience, with a proven track record supporting busy legal teams.
  • Strong speed typing skills (60-80 WPM) combined with excellent writing, editing, and proofreading abilities.
  • Proficiency in Microsoft Office applications, especially Word, Excel, and PowerPoint; familiarity with document management systems such as iManage is a plus.
  • Exceptional organizational skills to prioritize multiple tasks and meet deadlines efficiently.
  • Excellent communication skills, both verbal and written, with a professional tone for interacting with clients, attorneys, vendors, and colleagues.
  • Ability to operate standard office equipment including transcription devices, fax machines, and photocopiers with advanced functions.
  • Reliable attendance and punctuality to ensure smooth daily operations.
