Provide administrative support to a team of Fiduciary Accountants, helping manage a busy and evolving workload. Manage a high volume of internal and external emails, ensuring timely and professional communication. Coordinate client meetings, prepare materials, and ensure all required documents are organized in advance. Draft, edit, proofread, and format correspondence and client-related documents. Create and maintain electronic and physical client files, binders, and records. Monitor calendars, schedule appointments, and track important deadlines. Assist with monthly billing and time entry, ensuring accuracy and attention to detail. Coordinate notary services and assist with client document execution. Maintain and update client and referral contact information. Partner closely with colleagues on special projects and day-to-day office operations.

A successful Legal Secretary should have: At least 2+ years of experience in a law firm environment. Strong administrative and organizational skills with the ability to manage multiple priorities. Experience supporting attorneys, accountants, or other professional staff in a fast-paced setting. Excellent written and verbal communication skills with a client-service mindset. Proficiency in Microsoft Office Suite, Outlook, and document management systems. Exceptional attention to detail and the ability to handle confidential information with discretion. Experience with Trusts & Estates, fiduciary accounting, tax-related work, or estate administration is a strong plus. A proactive, team-oriented approach and the ability to work independently when needed.
