A leading professional services firm is seeking a Legal Support Specialist to provide advanced administrative support to attorneys and paralegals within a business-focused practice. This role requires a high level of organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate will serve as a key partner to legal professionals by supporting daily operations, managing administrative processes, and ensuring high-quality client service.

Responsibilities

  • Prepare, revise, and proofread legal and business documents using various tools and formats
  • Create and maintain electronic files and records within document management systems and email platforms
  • Coordinate new client intake processes, including preparing engagement and conflict-related documentation
  • Manage calendars, schedule meetings, and coordinate logistics for virtual and in-person engagements while resolving conflicts proactively
  • Process invoices, expense reports, reimbursements, and financial requests in accordance with internal guidelines
  • Enter and maintain accurate time records and assist with billing processes, including prebill review and distribution
  • Support audit-related processes and assist with legal research as needed
  • Maintain professional records such as continuing education credits and licensing requirements
  • Arrange travel, including flights and accommodations, in alignment with company policies
  • Coordinate document production, mailings, and service requests with internal support teams
  • Handle printing and document preparation tasks as needed
  • Utilize CRM tools to support business development efforts
  • Maintain professional communication with internal stakeholders and clients
  • Provide support to additional team members as needed and assist with delegation or mentorship of junior staff
  • Stay current with internal systems, tools, and procedural updates
  • Participate in initiatives aimed at improving workflows, technology, and operational efficiency
  • Perform other administrative duties as assigned
Requirements

  • Minimum of 4+ years of administrative experience within a legal or professional services environment, preferably supporting corporate or business practices
  • Proficiency in Microsoft Office and experience with document management systems and firm-specific tools
  • Ability to work overtime as needed

  • Familiarity with legal terminology and procedures
  • Bachelor's degree or equivalent certification
  • Strong ability to manage multiple priorities independently in a fast-paced environment
  • Excellent organizational, time management, and problem-solving skills
  • High level of attention to detail, particularly in proofreading and written communication
