Position Overview
Salary Range: $18.9331 - $20.8811/hour. Salary reflects Step 1 and Step 3 of a 7-step pay scale. Salary at hiring will be dependent on the applicant's education, experience, and training.

Work Schedule:
  • Tuesday: 11:15 a.m. to 8:15 p.m.
  • Wednesday - Saturday: 8:15 a.m. to 5:15 p.m.
  • Occasional Friday night shift

Job Summary:
The Library Services Specialist IV provides an advanced level of administrative support to the department or function manager and other department or function staff. Duties include performing or coordinating activities in support of the department or function. Specific duties vary with the department or function assigned. Duties may include training of lower-level library staff and volunteers. Work includes patron contact and customer service. Incumbents typically are very proficient with computer applications.
Scope of Responsibility:
Incumbents have a moderate degree of understanding of department or functional operations and are able to work with initiative. Under management guidance the incumbent will consider various objectives and make non-routine choices within an established precedent. Incumbents typically are very proficient with computer applications for word processing, spreadsheets, as well as integrated library systems. Incumbents must have the ability to make judgments based on their analysis of the situation within prescribed procedures. Work products have an impact on departmental operations and to a lesser extent the operation of the city. Incumbents must have the ability to exercise discretion regarding confidential matters and provide detailed procedural explanations or technical information.

Essential Duties and Responsibilities

Lead to Lower-Level Library Staff
  • May train staff, and volunteers in procedures and processes for operations at the main Library and off-site locations, or in services to children ages 0-12.
  • May verify the work of lower-level staff and volunteers for accuracy and compliance with proper work methods and techniques; maintain cleanliness of work area.
When assigned to Circulation Services:
  • Perform a variety of Circulation duties including, but not limited to, registering new patrons, performing book searches, retrieving books from various locations, sorting materials, renewing Library materials for patrons over the telephone, ensuring that patron files are accurately maintained; assist in the preparation of fine notices and overdue notices; investigate location of lost or withheld materials.
  • Sort, shelve, rearrange and otherwise maintain Library materials; ensure shelving accuracy as completed by lower-level staff; sort carts, empty book drops; read and shift materials on shelves; assist in routing Library materials to the appropriate area.
  • Conduct higher-level data entry and records management as part of project-based assignments, ensuring the accuracy, integrity, and confidentiality of patron and item records within the Library and third-party systems.
  • Oversee daily operations of the Library Express Lockers, performing circulation functions such as ensuring timely check-in and check-out of materials through the automated system, assisting with patron account updates, and troubleshooting access or technical issues; maintaining locker units and surrounding areas by checking for proper function, cleanliness, and accessibility; preparing lockers for scheduled deliveries and returns; and coordinating with library staff to ensure smooth service delivery and consistent patron experience. Process and distribute library express locker holds to all locations.
  • Monitors condition of delivery vehicle and other equipment and reports repairs needed.
When assigned to Children's Services
  • Provide reference and reader's advisory services to children ages 0-12, and to adults interested in materials for children; create bibliographies.
  • Conduct tours of the Children's area; adapt information given the age level of the group.
  • Provide instruction to patrons in the use of the catalog, online resources and other library materials.
  • Participate in year-round programming by generating ideas for story times and other programs; assist with preparations, set-up and clean-up of all programs.
  • Assist in collection development, selection, and ordering of materials for Children's Service.
  • Maintain general appearance of the Children's area including clean-up and displays.
  • Assist with re-shelving children's materials and cleaning audiovisual materials as needed.
  • Assist with collection development; help determine types and number of materials to purchase and which items to remove from the collection.
Patron Services
  • Respond to public inquiries in a courteous manner; provide information within the area of assignment; resolve complaints in an efficient and timely manner.
  • Provide general assistance to patrons in locating and using library materials; advise patrons on library materials; communicate effectively oral and written directions; Provide customer service as needed.
  • Develop age appropriate or target audience educational and promotional programs, and deliver programs to target audiences.
  • Assist in the development, implementation, and evaluation of programs and outreach services in the assigned areas of service.

Qualifications and Skills

Required Qualifications & Skills:
  • High school diploma or GED
  • Three (3) years or more of combined education and experience, or equivalent
  • Strong interpersonal and leadership skills
  • Must have a current Montana driver's license or must be obtained within sixty (60) days of employment
Preferred Qualifications & Skills:
  • Experience with library operations and knowledge of department or function operations

Physical Demands and Working Conditions
Work is indoors in a normal office environment and outdoors in a variety of weather conditions. Requires moderate physical effort, moving between 5 and 75 pounds, where effort is occasional, between 15% and 45% of the time. Requires high attention to detail or deadlines occasionally (between 15% and 45% of the time). Work requires exposure to one disagreeable element present, in moderate intensity, on an intermittent basis, between 15% and 50% of the time. Frequent driving is required.
