The Role: Licensed Office Professional

This position provides licensed administrative support to the Shoreline Group, ensuring smooth daily operations while enhancing the client experience. As a key resource for both Financial Advisors and clients, you’ll handle inquiries, manage communications, and facilitate essential financial and administrative tasks.

From answering calls and greeting clients to supporting securities and insurance-related processes, you’ll play a vital role in keeping the practice running efficiently. 

What You’ll Do

  • Serve as the first point of contact—answer incoming calls, greet clients, and provide excellent customer service.
  • Manage client inquiries, research account-related questions, and provide timely communication.

  • Provide fund values and answer securities-related questions (including, if appropriately licensed, variable insurance and annuities).

  • Perform daily administrative tasks, including managing office supplies, processing mail, and maintaining office systems.

  • Prepare and coordinate routine correspondence, reports, and special projects as needed.

  • Drive client/member engagement by scheduling meetings with clients on behalf of Financial Advisors.

  • Update the contact management system with client preferences and important details.

  • Support Financial Advisors with meeting preparation, follow-ups, and product change assistance.

  • Assist with marketing and outreach efforts, including direct mail, fraternal activities, seminars, and client events.

  • Handle client financial data and support research for securities product recommendations or investment advice.

  • Accept and process securities trade orders, including unsolicited trade orders (if appropriately licensed).

  • Explain, discuss, and support insurance coverage inquiries, including issuing certificates, endorsements, and contracts.

  • Provide support for variable insurance and annuities transactions, if appropriately licensed.

    • Adapt to additional responsibilities as assigned, based on business needs and licensure.

    • Administrative experience specifically within a financial service organization  (2+ years required ).

    • Strong organizational skills with the ability to juggle multiple tasks and prioritize effectively.

    • Tech-savvy—comfortable with Microsoft Office (Word, Excel, PowerPoint), and additional financial tools with a willingness to learn.

    • Life & Health insurance licensed (required).

    • Securities licensing (Series 7 & 66 or 6 & 63) (required).
