About the Indiana Secretary of State:
The Secretary of State focuses on unqualified integrity and accuracy in our elections, consistent and principled regulatory methods, ceaseless protection of Hoosier investors, and the most efficient use of taxpayer resources. The Secretary of State is one of five constitutional offices originally designated in Indianas State Constitution of 1816. Currently, we charter new businesses, regulate the securities industry, oversee state elections, commission notaries public, register trademarks, and license vehicle dealerships.
Role Overview:
The Licensing and Compliance Clerk serves as the primary point of contact for constituents of the Auto Dealer Services Division (ADSD). In this role, you will assist with dealer license applications, license plates, and general licensing inquiries. You will communicate directly with dealers and constituents to guide them through licensing processes, provide answers to their questions, log and route dealer complaints, and support the distribution of ADSD mail. You will also ensure that all required fees are received, recorded, and applied accurately.
Salary:
The salary for this position traditionally starts at $43,672.00 but may be commensurate with education and work experience. Use our Compensation Calculator to view the total compensation package.
A Day in the Life:
Licensing Duties:
- Independent Queue Management: Manage your daily work queue with minimal supervision to keep processes moving forward.
- Compliance Review: Ensure dealers comply with Indiana law by carefully and timely reviewing:
- License applications and renewals: Process incoming new dealer applications and renewals, reviewing details, marking filing appropriately.
- Bond and insurance updates: Review bond and insurance coverages to ensure all dealers remain active and compliant.
- Various License Requests: Process various updates to existing licenses, such as changes of location, business name, ownership, entity updates, additional plate requests, and off-site sales requests.
Customer Service:
- Responsive Communication: Provide helpful customer service in all daily communications. Respond to inquiries and dealer phone calls, emails, and faxes within a friendly 24-hour window.
- Tier 2 Support: Act as the next level of support for our call center (Netfor) when inquiries need to be escalated to a specialist.
- Office Operations: Assisting at front window. Perform general administrative tasks like scanning, copying, faxing, and filing, while operating and maintaining our office equipment and supplies.
- Helpful Referrals: Quickly identify when assistance is needed by another state or county agency and guide dealers and constituents to the right place.
- Payment Processing: Securely and accurately process check and credit/debit card payments

What Youll Need for Success:
Credentials:
- High school diploma or equivalent required. Post-secondary education or relevant professional experience preferred.
- Bilingual in English and Spanish is preferred.

- Strong organizational and time-management skills, with a proven ability to prioritize daily tasks.
