Electra Link is seeking a detail-oriented and highly organized Licensing & Compliance Specialist to support the company’s Legal and Accounting departments in the areas of business licensing, contractor licensing, compliance administration, payroll tax support, sales tax support, business registrations, and jurisdictional research.

The Licensing & Compliance Specialist is responsible for coordinating business licenses, contractor registrations, and compliance activities across multiple jurisdictions while supporting Legal and Accounting with operational compliance initiatives.
This role will also assist with researching applicable state and local payroll tax, sales tax, employment registration, licensing, permitting, and jurisdictional requirements related to employees and operations working in new or temporary jurisdictions. The position supports internal teams by helping identify and summarize applicable compliance obligations before operations begin in a new state or locality.
The ideal candidate will have experience in licensing administration, contractor licensing, compliance tracking, documentation management, regulatory research, and multi-jurisdictional coordination. This position requires exceptional organizational skills, attention to detail, strong communication abilities, and the ability to manage multiple deadlines in a fast-paced environment.
Prepare and submit business and contractor licensing applications, renewals, amendments, and registrations
Track licensing deadlines, expiration dates, filing requirements, and ongoing compliance obligations
Research state, local, and federal licensing requirements across multiple jurisdictions
Conduct jurisdictional research to support operations in new or temporary work locations, including:
State and local withholding tax requirements
Employment registration requirements
Sales tax registration requirements
Workers’ compensation and unemployment insurance considerations
Business tax obligations
Licensing and permitting requirements
Other employment-related compliance obligations
Prepare, organize, and maintain licensing documentation, including:
Corporate records
Financial documents
Regulatory filings
Insurance documentation
Supporting compliance records
Maintain accurate licensing databases, tracking systems, and compliance records
Communicate with government agencies, regulatory bodies, and internal departments regarding licensing and compliance requirements
Assist with audits, compliance reviews, and regulatory reporting requests
Support operational compliance initiatives related to multi-state business activities
Identify opportunities for process improvements to increase efficiency and accuracy within licensing and compliance operations
Assist with documenting and maintaining licensing procedures, compliance reference materials, and internal process guidelines
Provide timely updates and status reports regarding licensing activities and compliance matters
Maintain confidentiality and professionalism while handling sensitive company and employee information
Minimum of 3 years of experience in licensing, compliance administration, contractor licensing, or related administrative support roles
Strong understanding of regulatory compliance, contractor licensing, and registration processes
Experience managing licensing activities across multiple jurisdictions preferred
Experience in construction, consulting, accounting, legal, or other industries supporting multi-state compliance activities preferred
Comfort with basic payroll tax, sales tax, employment registration, and jurisdictional compliance terminology
Ability to research and summarize applicable state and local requirements to support Legal and Accounting review
Strong analytical, organizational, and problem-solving skills
Excellent attention to detail and accuracy
Ability to manage multiple projects and deadlines simultaneously
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite and database management systems
Ability to work independently and collaboratively within a team environment
High school diploma or equivalent required
Additional education in Business Administration, Legal Studies, Accounting, Paralegal Studies, or related fields is a plus
Experience with compliance management systems, contractor licensing platforms, or ERP systems preferred
