POSITION DESCRIPTION:
The Licensing Specialist will report to the Sr. Manager, Compliance and work closely with the Program Manager, Licensing Operations on a daily basis to assist in managing the licensing process for EnFin and its subsidiaries across all 50 states, including keeping track of upcoming renewals, annual reports, examinations, and surety bonds. The ideal candidate will demonstrate exceptional attention to detail, strong organizational and tracking capabilities, and the ability to communicate effectively with a wide range of stakeholders.
This position will be based out of our office in Irvine, CA.
RESPONSIBILITIES
- Act as a liaison within EnFin, across multiple departments, to obtain required licensing documents for annual reports, examinations, or renewals, across all 50 states.
- Establish and maintain an internal tracking log for licenses, ensuring timely renewals and providing all required documents.
- Upload documents to NMLS or various State portals and check for any additional requirements or delinquencies.
- Communicate with regulators to obtain clarification on instructions and check the status of submitted documents.
- Collaborate seamlessly with multiple departments to meet all regulatory licensing and reporting obligations, including processing applications and purchasing/renewing surety bonds.
- Keep a robust tracker of all licenses owned by EnFin and continuously update a yearly timeline/roadmap for all annual reports and renewals.
- Handle sensitive and confidential information with the highest level of discretion, ensuring secure processing, storage, and distribution in accordance with company policies.
- Ensure all surety bonds are renewed and keep track of their statuses.
- Process payments related to licensing and provide receipts to the Finance/Accounting teams as required.
- Assist with on-site operational duties, including opening, scanning, and securely storing physical mail, as well as coordinating the shipment of confidential documents to designated stakeholders.
- Tasks are to be performed independently, with minimal supervision.
- Ensure that all deadlines are met.
REQUIRED QUALIFICATIONS
- Bachelor’s degree in business administration, finance, operations or related field including a minimum of 5+ years of professional work experience.
- Experience working in a high-tech, fast-paced environment.
- Excellent organizational, multitasking skills, and attention to details.
- Excellent written and verbal communication skills, with the ability to draft professional correspondence to regulators and senior leadership.
- Strong problem-solving and critical thinking skills, with the ability to identify issues and implement practical solutions.
- Experience maintaining trackers, calendars, and documentation systems to manage deadlines and deliverables.
- Demonstrated ability to manage confidential and sensitive information with discretion, professionalism, and sound judgment.
- Proficiency in Microsoft Office Suite
- Experience with NMLS and navigating various State portals
PREFERRED QUALIFICATIONS
- 1+ years of experience in the solar industry or 1 year of experience in solar financing.
- 1+ years of experience in operations and/or customer service.
