Job Summary and Qualifications

This position is one of the professional staff positions in the HCI Finance Department and in the larger Risk & Insurance Department reporting to the Managing Director, Legal Resources & Analytics. As the Litigation Support Coordinator, you will have broad responsibility for the centralized coordination of information and document production utilized for the investigation and defense of professional and general liability claims. You will regularly interact with Risk Management Coordinators, facility representatives, corporate leaders, HCI Claims and Finance teams and is responsible for implementing efficient data collection procedures from various corporate sources to provide documents responsive to requests received from Insureds’ Defense Counsel and Risk Management Coordinators. You will be responsible for the creation and maintenance of a centralized secure document repository with consistent naming conventions and indexing. Ideally, this individual has litigation experience, is familiar with physician practice and hospital operations, state malpractice laws, and has demonstrated ability to independently problem solve and synthesize and summarize complex information. This individual has strong administrative and organizational skills to aid in providing requested information in a timely and accurate manner to support active litigation deadlines.

Job Responsibilities:

Quality:

  • Implement efficient data collection process and procedures from various centralized corporate departments, such as Parallon (medical records, billing), Human Resources, Timpani platform, Policy Stat (policies and procedures), Marketing, Security, ITG (electronic discovery), etc.
  • Creation and maintenance of centralized secure document repository, with consistent naming conventions and indexing, as well as implementing best practices for managing large volumes of documents and litigation support databases.
  • Manage workflows, track progress and timely provide requested information from retained Defense Counsel and Risk Management Coordinators responsive to investigation and discovery, thereby removing a meaningful administrative burden from the hospital patient safety directors, allowing them to focus on clinical risk mitigation efforts.
  • Perform quality control checks of litigation documents to ensure accuracy and completeness.
  • Utilize litigation support technology, software and other tools to organize and analyze case information
  • Provide technical and administrative support, including document review, analysis and production, as well as communicating relevant progress to requesters and appropriate stakeholders.
  • Ensure document and management processes meet legal and regulatory requirements, including HIPAA and retention standards.
  • Collaborate in the evaluation of the efficiency and effectiveness of document production as well as litigation support to invested stakeholders.
  • Maintain performance against established department metrics.

Service:

  • Conduct necessary research, analysis, and strategy meetings with invested stakeholders to ensure accuracy of production, along with the ability to troubleshoot operational issues.
  • Maintain current knowledge of relevant industry trends, changes in laws and rules affecting document production.

People:

  • Build and maintain strategic alliances and collaborative partnerships with multiple stakeholders within the centralized corporate departments of Parallon, HR, ITG, Marketing, Security, etc., to define strategies, scope and process requirements to deliver successful document production.
  • Assist in timely providing responsive documents requested by Defense Counsel and Risk Management Coordinators to support pending litigation.
  • Develop and maintain effective, efficient and respectful working relationships with the organization’s Patient Safety Directors, C-suite colleagues, Division and Corporate leaders within HCA Legal Department, Clinical and Physician Services Groups, DTI and other corporate departments as appropriate that will mutually benefit the department and the organization.
  • Work collaboratively with the entire HCA Risk and Insurance Management team, HCI Claims team, Legal Resource and Analytics team, Finance and Business Intelligence teams.

Finance:

  • Adhere to meaningful metrics to measure individual performance and effectiveness of document production

Job Requirements:

  • Bachelor's degree is required
  • Paralegal, JD or Master’s degree (MBA, MPH, MHA, MSH) is preferred
  • 5+ years of experience in litigation or claims’ management support, preferably in healthcare and preferably in a multi-state environment; knowledge of hospital and healthcare operations is required.
  • Certification in risk management or insurance, i.e. CPHRM, ARM, CPCU, etc is preferred
