The Commercial Loan Post-Closing Specialist is responsible for ensuring the accuracy, completeness, and compliance of all commercial loan documentation and collateral perfection after loan closing. This role serves as a critical control point in the lending process, mitigating risk by reviewing executed documents, managing trailing items, perfecting liens, maintaining tickler systems, and coordinating with internal teams, attorneys, title companies, and borrowers. The position requires strong attention to detail, knowledge of commercial lending regulations, and the ability to manage multiple deadlines in a fast-paced environment.

Key Responsibilities

  • Perform comprehensive post-closing reviews of executed commercial loan packages (C&I, CRE, and related facilities) to verify accuracy, completeness, and alignment with credit approval, loan documents, bank policies, and regulatory requirements.
  • Review and validate all loan documentation, including notes, security agreements, guarantees, mortgages/deeds of trust, UCC filings, and supporting due diligence (title policies, insurance, appraisals, environmental reports, etc.).
  • Manage collateral lien perfection activities, including recording mortgages, filing UCC-1 financing statements and continuations, vehicle titles, and other security interests; coordinate with county clerks, DMVs, Secretaries of State, and third-party vendors.
  • Track, monitor, and resolve trailing documents, exceptions, and post-closing conditions using tickler systems; ensure timely receipt of final title policies, recorded documents, insurance certificates, and financial statements.
  • Process loan funding, booking support, wire transfers, and account setup; balance internal accounts and prepare/post-closing reports as needed.
  • Identify and escalate discrepancies, missing items, or compliance issues to Relationship Managers, underwriters, attorneys, or senior management.
  • Maintain loan files, imaging systems, and records; support audits, regulatory reviews, and paid-off loan processing (releases of collateral).
  • Monitor insurance, financial covenants, UCC renewals, and other ongoing requirements; send notifications and handle forced-place insurance when applicable.
  • Collaborate with pre-closing teams, documentation specialists, and servicing teams to ensure smooth handoff and continuous process improvement.
  • Stay current with federal/state regulations (e.g., UCC, flood insurance, BSA/AML, Patriot Act) and bank policies.

Qualifications & Experience

  • Education: Bachelor's degree in Business, Finance, Accounting, or related field preferred. High school diploma/GED with equivalent experience required.
  • Experience: 2–5+ years in commercial loan operations, post-closing, documentation, or servicing. Experience with commercial real estate (CRE) and C&I loans strongly preferred. Prior banking or financial institution background required.
  • Technical Skills:
    • Proficiency with loan origination/servicing systems (e.g., nCino, Client, LaserPro preferred).
    • Strong Microsoft Office skills (Word, Excel, Outlook).
    • Familiarity with UCC filings, title/insurance processes, and collateral tracking tools.
