Logistics Administrator

Performs administrative duties for the Traffic & Logistics department in Receiving that require a broad knowledge of departmental policies and procedures. Primarily responsible for receiving and reconciliation along with report keeping and filing.

Core Responsibilities

  • Reconciles reports and spreadsheets related to transportation, receiving, accounts payable, and procurement with data that pertains to the receiving process.
  • Frequently composes logs and reports, at request of department manager.
  • Enters data from various sources into spreadsheets, verifies input and calculations.
  • Regularly develops original spreadsheets, databases and reports.
  • Suggests improvements to increase efficiency and improve communication of departmental and functional information.
  • Completes daily reconciliation of AP Open Invoice Spreadsheet. Assists in the creation of shipping documents (Commercial Invoice, Packing Lists and Shipyard Material Receivers) along with administrative and logistical arrangements for ongoing shipments.
  • Maintains efficient and secure paper and electronic filing system and ensures quick retrieval of requested documents
  • Ensures accurate and timely completion of receiving documents and corresponding electronic data. Provides critical communication to involved parties regarding receiving processes.
  • Organizes and updates logs for receipt registers.
  • Provides support to Traffic & Logistics Administrative Assistant(s) under direction of Traffic & Logistics Manager.
  • Collaboratively resolves most inquiries related to receiving discrepancies.
  • Frequently handles confidential or sensitive information or issues.
  • Handles special projects as requested.

  • Demonstrated ability to handle confidential or sensitive information or issues.

Qualifications & Experience Educational Qualification:
  • High school diploma or GED. Associates degree in Supply Chain and Logistics Technology or Business Administration preferred.
  • Knowledge of general office practices and procedures and an understanding of the organization related to the work.
  • Some knowledge of bookkeeping required to track logs and create reports.

Certification(s): n/a Relevant Experience:
  • 1+ years of experience in logistics. 3+ years of customer service background. SAP experience is a plus.

Language(s) and Software:
Advanced PC skills including proficiency in MS Office. Basic knowledge of Excel based analytical tools.
