Job Description
Title: Logistics & Retail Customer Service Coordinator
Reports To: Senior Supply Chain Manager with dotted line to Director of Retail Sales
Summary: The Logistics & Retail Customer Service Coordinator is a core administrative and data-entry role within the Supply Chain function that manages three critical operational workflows: Inbound Ingredient Shipment Tracking and Logistics, Outbound Fulfillment Coordination, and Retail Customer Order Processing. On the inbound side, this role acts as the administrative point of contact for raw materials, entering purchase orders, managing dock appointments, and tracking international and domestic ingredient shipments to ensure continuous production. On the outbound and order processing side, the role is responsible for the manual and EDI-based entry of retail, distributor, and e-commerce customer orders from receipt through final invoicing. This includes coordinating directly with 3PL warehouse partners, managing carriers, updating business system dates, and resolving administrative order discrepancies. This role also proactively monitors short-dated and discontinued inventory to minimize financial exposure. Success in this position requires high data-entry accuracy, exceptional tracking and organizational habits, and the ability to seamlessly handle heavy transactional volumes across multiple systems and software platforms in a fast-paced manufacturing environment.
Essential duties and responsibilities:
PO Entry/Tracking
- Enter purchase orders as directed by purchasing team and collect appropriate pre-ship paperwork
- Update and maintain accurate supplier ready dates and purchase order dates in ERP system
- Manage inbound dock appointments and provide warehouse proper receiving documentation prior to arrival
- Assist warehouse team with discrepancies upon material arrival
Order Management & Customer Relations
- Enter, process, and track retail and private label customer orders across retail, distributor, and e-commerce channels from receipt through fulfillment
- Accurately invoice all retail and private label orders
- Resolve order discrepancies, shortages, pricing issues, and shipping errors in a timely manner
- Serve as the primary point of contact with buyers for retail, distributor, and e-commerce orders
- Prepare and ship retail customer samples and trade show materials
Warehouse & Transportation Logistics
- Coordinate and schedule inbound transportation for domestic and international raw materials
- Coordinate and schedule outbound transportation for retail finished goods
- Track and troubleshoot freight shipment or delivery issues, escalating as needed
Administrative Support & Reporting
- Compile and distribute regular status reports regarding open orders, fill rates, inventory accuracy, and inbound/outbound delivery timelines
- Identify and flag short-dated, slow-moving, or at-risk inventory early for leadership review
- Support new item customer setup, pricing updates, and customer portal maintenance
- All other duties as assigned
Supervisory Responsibilities: None
Position Type and Expected Hours: This is a full-time (40 hour/week), non-exempt position with available overtime. Hours will generally be scheduled between 7:00 am and 4:30 pm Monday through Friday.
Location: Work will be performed primarily on-site at Riega Foods’ Kansas City, MO offices during normal business hours. Occasional remote work may be permitted with advance notice and supervisor approval, based on business demands.
Travel: Occasional visits to warehouse/3PL facilities may be required to support inventory accuracy and operational needs.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods while working in office and warehouse environments
- Ability to frequently use a computer, telephone, and other standard office equipment for data entry and communication
- Ability to occasionally lift, carry, push, or pull materials weighing up to 25 pounds and move throughout operational facilities as needed

Education and Experience:
- 1-2 years of experience in customer service, order management, or account coordination — food/CPG manufacturing or distribution experience strongly preferred
- 1-2 years of experience with transportation and logistics (e.g., carrier scheduling, freight coordination, transportation management systems) strongly preferred. Experience working with 3PL warehouse partners preferred. Experience with international shipments preferred.
- Proficiency working across multiple systems, including ERP, EDI, CRM, and e-commerce platforms. Experience with Cin7 Core preferred but not required.
- Familiarity with retail, distributor, and e-commerce order processes and portal requirements (e.g., major retailer vendor portals) preferred
- Familiarity with specific EDI transaction sets (850, 810, 856, 940, etc.) preferred.
- Associate's or Bachelor's degree preferred (or equivalent combination of education and experience)
- Strong written and verbal communication skills, with the ability to manage relationships across customers, brokers, warehouse teams, carriers, and internal teams
- Excellent attention to detail and strong organizational skills; comfortable managing multiple accounts, warehouse locations, and priorities simultaneously
- Proficiency in Microsoft Excel (or Google Sheets) for tracking and reporting
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment
Compensation: The expected pay range for this role is $25-30/hour depending on experience, skills, and qualifications. This role is eligible for overtime, though we can't guarantee overtime hours will be available.
