We are hiring: Logistics & Office Support Position

Pay: $20-$27 DOE

Schedule: 8:00 AM - 4:30 PM

This is a combined role that supports both office administration and logistics coordination. The position involves acting as a key point of contact to ensure smooth daily operations between the office, customers, and transportation providers.

Key Responsibilities

Office Support Duties:

  • Answering phone calls, directing inquiries, and greeting visitors
  • Scheduling appointments and managing calendars
  • Data entry (timesheets, reports, tracking logs, etc.)
  • Filing, organizing, and maintaining documents
  • Handling incoming/outgoing mail
  • Ordering and managing office supplies
  • Assisting with general administrative tasks (scanning, copying, reporting, errands)
  • Supporting internal communication and message handling

Logistics Coordination Duties:

  • Coordinating shipments, pickups, and delivery schedules
  • Tracking inventory and supporting warehouse operations
  • Preparing shipping documents (bills of lading, invoices, etc.)
  • Communicating with suppliers, customers, and carriers
  • Troubleshooting shipment issues (delays, damages, missing items)
  • Reviewing logistics data to improve efficiency and reduce costs

Dispatch & Communication Requirements:

  • Respond to all emails within 1 hour (no exceptions)
  • Maintain professional written communication at all times
  • Confirm receipt of requests within 1 hour
  • Send job requests to at least two service providers for comparison and speed
  • Include all required shipment details (destination, contact, time, equipment, materials, instructions)
  • Follow up on pending requests within 24-48 hours
  • Maintain ongoing communication with carriers to ensure timely service
  • Report delays or issues immediately
  • Handle cancellations or emergencies promptly and coordinate replacements when needed
  • Verify all receipts match completed services
