Job Summary:
The Lead Logistics & Facility Maintenance Coordinator is responsible for overseeing all inbound and outbound logistics operations, warehouse inventory management, and facility maintenance coordination.
This role ensures efficient product flow, accurate inventory control, and safe, compliant facility operations.
Responsibilities and Duties:
< Logistics & Warehouse Operations >
Coordinate and manage the receipt of goods, ensure accurate recording in the accounting system and proper handover of paperwork, and make sure goods are distributed to the correct person within the company or shipped to customers.
Manage shipments of goods to ensure the best balance of freight cost and delivery time.
Ensure correct items are shipped to the correct destinations and are packaged appropriately to prevent damage during delivery.
Collaborate with the sales and engineering team to optimize project and event freight costs and delivery schedules as needed.
Handle the preparation of shipping documents, including commercial invoices, customs declarations, and bills of lading.
Resolve any issues related to transportation delays, damaged goods, or delivery discrepancies, working with relevant stakeholders to provide timely solutions.
Maintain accurate inventory records.
Conduct regular inventory counts and identify and report the causes of any discrepancies to accounting team.
Ensure proper handling, storage, and movement of goods within the warehouse.
Operate warehouse equipment, including forklifts.
Implement and maintain best practices for warehouse organization and safety.
Manage inventory levels of packing materials, notify management when purchase approval is needed to maintain optimal stock levels while avoiding overstocking.
< Facility Maintenance & Security Coordination >
Manage all security and fire alarm system inspections, including scheduling annual services and serving as the primary contact for vendors and service providers.
Respond to security and fire alarm alerts, coordinating with service providers and notifying management as appropriate.
Monitor security camera systems and investigate alarm notifications.
Ensure compliance with safety regulations and inspection requirements.
Oversee routine maintenance and safe operation of the facility and its equipment.
Obtain quotes for facility maintenance and expansion projects as needed.
Qualifications:
Experience in logistics, warehouse operations, or inventory management.
Knowledge of facility maintenance coordination and vendor management.
Familiarity with security systems, fire alarm systems, and safety compliance standards.
Forklift certification (or ability to obtain certification).
Strong organizational and problem-solving skills.
Ability to manage multiple responsibilities and prioritize tasks effectively.
Good communication skills for vendor and team coordination.
Skills and Competences:
Strong verbal and written communication skills to effectively coordinate with suppliers, customers, service providers, and internal teams.
Experience with inventory management software.
Basic mechanical knowledge for troubleshooting equipment.
Understanding of OSHA and workplace safety standards.
Multitasking skills with the ability to coordinate logistics operations and facility maintenance simultaneously.
