Basic Function

The Logistics & Purchasing Coordinator is responsible for the efficient and cost-effective acquisition and movement of goods, contributing to the overall success of the organization. They play a crucial role in ensuring the smooth flow of goods and materials within an organization. Their duties blend procurement and logistics, aiming for efficiency and cost-effectiveness.

Essential Duties include but are not limited to:

General Duties:

  • Balance Safety, Quality, Production, Cost and Morale to achieve positive results across departments.
  • Continuously learn, share and implement corrections or changes to encourage organizational improvements for the department and company.
  • Use the 5s Pillars, Sort (Seiri), Set in Order (Seiton), Shine (Seiso), Standardize (Seiketsu), and sustain (Shitsuke) to maintain a clean and organized workspace to sustain a productive work environment.
  • Collaborate and manage projects that require input and cooperation from multiple departments and external venders ensuring that clear and consistent communication between departments streamline processes and enhance productivity.
  • Answering phone calls and the gates.

 

Purchasing Duties:

Sourcing and Vendor Management:

  • Identifying and evaluating potential suppliers.
  • Building and maintaining strong relationships with vendors.
  • Negotiating contracts and pricing agreements with trucklines.
  • Monitoring vendor performance and ensuring compliance.

Procurement Process:

  • Processing purchase orders and requisitions.
  • Ensuring timely and accurate procurement of materials and supplies.
  • Managing purchase order tracking and follow-up.
  • Resolving discrepancies in orders and invoices.

Cost Control:

  • Analyzing market trends and identifying cost-saving opportunities.
  • Conducting cost analyses and preparing reports.
  • Managing purchasing budgets.

Logistics Duties:

Shipping and Receiving:

  • Overseeing the shipping and receiving of goods.
  • Coordinating transportation and delivery schedules.
  • Managing inventory levels and warehousing, stockroom and front gate
  • Ensuring accurate inventory records.
  • Approving Invoices and Receipts

Supply Chain Management:

  • Monitoring and optimizing supply chain operations.
  • Identifying and resolving supply chain disruptions.
  • Improving logistics processes and efficiency.
  • Tracking shipments and ensuring timely delivery.

 

Inventory Management:

  • Keeping accurate records of inventory.
  • Forecasting inventory needs of raw materials for OM Team.
  • Managing stock room

 

Workflow Management:

  • Ensuring efficient workflow within the logistics and purchasing department.
  • Prioritizing tasks and managing deadlines.
  • Identifying and resolving bottlenecks in the process.
  • Optimizing processes and procedures.

 

Leadership:

  • Overseeing the daily activities of the Shipping & Receiving coordinators to ensure duties within job description are completed timely.
  • Delegating tasks and responsibilities effectively.
  • Provide guidance, training, and support to direct reports.
  • Monitor performance and provide feedback.
  • Conduct performance reviews and set goals.
  • Resolve conflicts and address performance issues.
  • Foster a positive and productive work environment.
  • Communicate team performance and progress to top management.
  • Providing regular updates on key metrics and projects to top management.
  • Act as a liaison between the team and other departments.

Physical Requirements / Work Environment Requirements

  • Prolonged periods of sitting at a desk and working on a computer. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets.
  • While performing the duties of this job, the employee is regularly required to walk, sit, stand, use hands to manipulate, handle and feel objects, tools, or controls. The employee is required to reach with hands and arms, climb stairs, balance, stoop, kneel, and crouch. The employee must be able to speak and hear and must occasionally lift or move up to 15 pounds.
  • The employee may enter the non-climate-controlled plant or warehouse where temperatures can be extremely hot or cold depending on the weather.

Minimum Qualifications

Education and Work Experience:Listed below are the minimum and/or desired qualifications of the position including education, work experience and knowledge & skills that are required to perform satisfactorily in the position:

  • Associate's degree or equivalent from a two-year college or technical school is preferred
  • Three or more years of relevant warehouse distribution experience.
  • Two or more years of experience in a supervisory role.
  • Computer literate, specifically with Microsoft applications.
  • Experienced in working with ERP systems.

Knowledge and Skills:

Recommend knowledge and skills:

  • Familiar with ERP systems – (PLEX preferred)
  • Must be able to communicate effectively with other employees, drivers, etc.
  • Good math competence.
  • Excellent organization skills, clerical and working operation with all aspects of freight, packaging and logistics.
  • Familiarity with reading and completing shipping documents.
