Job Description

Role Overview:

\n

A.L.C is seeking a Logistics & Supply Chain Coordinator to manage the end-to-end movement of product from overseas vendors to our domestic warehouses and customers, while owning purchase order creation and supply chain reporting. This role tracks shipments, coordinates freight and customs documentation, and maintains accurate POs in our systems to keep inventory and allocation plans on track. The role partners closely with Production, Planning, and the Warehouse team to ensure product moves efficiently from factory to floor, and provides visibility into delivery status, freight spend, and PO accuracy across the business.

\n

The ideal candidate has 2+ years of experience in logistics, import/export, or supply chain coordination, ideally at a contemporary fashion brand with an overseas vendor base. They are detail-oriented, deadline-driven, and comfortable managing multiple shipments, vendors, and systems simultaneously — equally at ease comparing a freight quote, entering a purchase order, and building a delivery report for leadership.

\n

\n

Responsibilities:

\n

\n

Shipment and vendor coordination

\n

•      Track production timelines with overseas vendors to ensure shipments are booked and ready to meet delivery windows.

\n

•      Coordinate booking of ocean and air freight with forwarders based on order priority, budget, and transit time.

\n

•      Maintain daily communication with overseas factories and agents regarding shipment readiness, packing lists, and required documentation.

\n

•      Monitor purchase orders against shipment schedules, proactively flagging delays before they impact delivery.

\n

•      Own the shipment tracking log, maintaining up-to-date ETAs across all in-transit purchase orders.

\n

\n

In-Transit Management

\n

•      Monitor, track, and update the ERP / WMS with accurate ETA and tracking information for all open purchase orders and shipments in transit.

\n

Customs and import compliance

\n

•      Prepare and review shipping documents, including commercial invoices, packing lists, bills of lading, and certificates of origin.

\n

•      Partner with customs brokers to ensure timely, compliant clearance of all imported goods.

\n

•      Maintain accurate HTS classifications and support duty and tariff calculations.

\n

•      Stay current on trade compliance requirements, including country of origin rules and applicable tariffs, flagging changes that could impact cost or timeline.

\n

\n

Freight and cost management

\n

\n

•      Obtain and compare freight quotes across carriers and forwarders to support cost efficiency.

\n

•      Track and reconcile freight invoices against quoted rates, escalating discrepancies as needed.

\n

\n

Purchase order creation and management

\n

\n

•      Create and maintain purchase orders in the ERP/PLM system for all import styles, ensuring accuracy of cost, quantity, and delivery dates.

\n

•      Reconcile POs against vendor confirmations and shipment documents, correcting discrepancies before goods arrive.

\n

•      Track PO status from placement through receipt, keeping Planning and Allocation teams informed of any changes.

\n

•      Maintain organized records of PO revisions, cancellations, and changes in cost or quantity.

\n

\n

Reporting and analysis

\n

\n

•      Build and maintain reporting on on-time delivery rates, freight spend, and PO accuracy for the Logistics Manager and cross-functional partners.

\n

•      Track and report on vendor shipping performance, identifying trends and recurring delays by vendor or region.

\n

•      Provide regular visibility into open POs, in-transit shipments, and upcoming deliveries to support inventory planning.

\n

•      Support ad hoc reporting requests from Production, Planning, and leadership.

\n

\n

Cross-functional communication

\n

\n

•      Serve as the primary point of contact for shipment status, PO status, and delivery timing across Production, Planning, and Warehouse teams.

\n

•      Coordinate with the Warehouse/DC team on inbound receiving schedules and resolve issues related to damaged, lost, or short-shipped goods.

\n

•      Run regular check-ins with cross-functional partners to align on delivery priorities each season.

\n

\n

Qualifications:

\n

•      3+ years of experience in logistics, import/export, or supply chain coordination, ideally at a contemporary fashion or consumer goods brand.

\n

•      Hands-on experience working directly with overseas vendors and factories.

\n

•      Strong background in international shipping processes, including Incoterms, ocean/air freight, and customs documentation.

\n

•      Experience creating and managing purchase orders in an ERP or PLM system (e.g., NetSuite, Full Circle, AIMS360).

\n

•      Strong Excel skills and comfort building reporting for cross-functional stakeholders.

\n

•      Excellent communication skills for coordinating across time zones with vendors, forwarders, and internal teams.

\n

•      Highly organized with the ability to manage multiple shipments, vendors, POs, and deadlines simultaneously.

\n
