Position Overview
Our client is seeking dependable and detail-oriented Mail Clerks to support mailroom and office services operations in Albany, NY. This two-year contract opportunity is ideal for candidates who enjoy working in a fast-paced environment and take pride in providing excellent customer service while ensuring the accurate processing and distribution of mail, packages, office supplies, and operational support services. The successful candidate will play an essential role in maintaining efficient mailroom operations and supporting daily administrative and facilities functions.
Key Responsibilities
- Receive, sort, process, track, and distribute incoming and outgoing mail, including USPS, certified mail, overnight deliveries, courier services, and electronic package processing using departmental tracking systems.
- Prepare outgoing mail and large mailings by operating mailing equipment, folder/inserter machines, and determining appropriate shipping methods.
- Assist employees with mailing requests and provide guidance on proper mailing procedures.
- Process, organize, and distribute office supplies while maintaining inventory levels and coordinating supply orders with vendors.
- Generate reports, maintain records, update tracking systems, and submit maintenance work orders using departmental software.
- Provide administrative and operational support to Office Services and Facilities Management teams.
- Assist with records retention activities, document organization, and other assigned departmental projects.
- Support the maintenance of office equipment, including copiers and printers, by performing basic troubleshooting and replacing toner or supplies as needed.
- Assist with office moves, deliveries, equipment installations, and other operational support activities.
- Supervise subordinate staff when assigned and complete all required training and operational responsibilities.
- Maintain organized work areas while adhering to established procedures, safety guidelines, and confidentiality requirements.
Minimum Qualifications
Candidates must possess:
- Eligibility to work in New York State.
- High School Diploma or equivalent.
- Minimum of two (2) years of customer service experience.
- Minimum of two (2) years of computer experience, including the ability to work with electronic tracking systems and standard office software.
- Ability to stand, walk, bend, and perform physical work for up to three hours per day.
- Ability to safely lift, move, and transport mail, packages, office supplies, and equipment weighing up to 50 pounds.
Preferred Qualifications
- Ability to follow written and verbal instructions with minimal supervision.
- Strong organizational skills and attention to detail.
- Ability to work independently while managing multiple priorities.
- Experience operating mailroom equipment such as postage machines, folder/inserters, or package tracking systems.
- Familiarity with inventory management and office support functions.
- Basic troubleshooting skills for office equipment.
- Strong communication and interpersonal skills with a customer-focused approach.
- Previous experience in a mailroom, shipping/receiving, records management, or facilities support environment is preferred.
