Job Title: Office Services & Facilities Assistant
Location: Albany, NY Type: Full-Time / New York State Agency
Position Summary
Penda Aiken inc. is a staffing firm located in Brooklyn New York. Our client is a New York State Agency and is seeking a reliable Office Services & Facilities Assistant professional to join their team. This role focuses on the efficient delivery, processing, and management of office communications, inventory, and facility operations.

This is a fast-paced role requiring high reliability, punctuality, and the ability to meet strict deadlines while maintaining meticulous attention to detail.
Primary Responsibilities

  • Mail Processing: Receive, process, sort, track, and distribute incoming and outgoing mail, including USPS, overnight deliveries, certified mail, and electronic package processing using departmental tracking systems.

  • Distribution Support: Prepare mailings and documents for distribution, including operating mailing and folder/inserter equipment, assisting staff with mailing needs, and determining appropriate mailing methods.

  • Inventory Management: Maintain inventory and distribute office supplies, process supply orders, and coordinate with vendors and delivery services to support daily operations.

  • Records & Systems Support: Generate reports, maintain records, and utilize departmental systems to track data, process requests, and submit maintenance work orders.

  • Administrative Operations: Provide administrative and operational support to Office Services and Facilities Management, including vendor coordination, records retention activities, and other assigned projects.

  • Equipment Maintenance: Assist with the maintenance and support of office equipment, including copiers and printers, and provide basic troubleshooting and toner replacement.

  • Supervision & Support: Supervise subordinate staff as assigned and complete required training and other duties in support of departmental operations.

  • Facilities Assistance: Assist with deliveries, office moves, equipment installations, and other operational support duties as needed.
Minimum Qualifications

  • Legal Status: Eligibility to work in New York State.

  • Education: High School Diploma or equivalent.

  • Experience:

    • At least two (2) years of experience working in customer service.

    • At least two (2) years of experience using a computer.

  • Physical Demands: Ability to stand, walk, bend and perform physical work for three hours per day (including the ability to lift and move mail, packages, office supplies and equipment weighing 50 pounds).

  • Preferred Skills/Abilities: Ability to follow instructions and work independently.

This is an in-office position. Telecommuting is not permitted.
