About The Role:

The Mail Services Coordinator is responsible for supporting daily shipping, fulfillment, and logistics

activities for internal business partners. This role ensures products, materials, and equipment

are processed accurately, packaged appropriately, and shipped in accordance with company

policies and carrier requirements. The position requires a strong attention to detail, commitment

to safety, and the ability to work independently in a fast-paced environment.

What You Will Do:

Shipping & Fulfillment

Process, package, and ship products, materials, and equipment for internal teams and business partners.

Prepare shipments using approved shipping systems and carrier platforms.

Verify shipment accuracy, documentation, and tracking information prior to dispatch.

Ensure all shipments meet established service-level expectations and customer requirements.

Maintain accurate shipping records and update tracking information as required.

Compliance & Safety

Complete all required training related to shipping, logistics, workplace safety, and operational procedures.

Maintain annual Dangerous Goods (DG) certification and comply with all applicable hazardous materials shipping regulations.

Follow established safety procedures and immediately report any safety concerns, incidents, or compliance issues.

Ensure shipments comply with company policies, carrier requirements, and regulatory guidelines.

Operational Support

Provide support for inventory management, supply organization, and operational readiness activities.

Assist with special projects, product launches, and high-volume shipping initiatives as needed.

Maintain an organized, clean, and professional work environment.

Collaborate with internal stakeholders to ensure timely and accurate fulfillment of requests.

Customer Service

Deliver a positive customer experience through professional communication and timely service.

Respond to shipping-related inquiries and provide shipment status updates when requested.

Partner with cross-functional teams to resolve shipping issues and improve operational efficiency.

What you'll need

Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future

HS Diploma or GED or equivalent experience required.

  • A minimum of 3-4 years of front desk, concierge, customer service, or other hospitality experience.
  • Open and flexible work schedules.
  • Ability to comprehend and interpret instructions, and memos and ask clarifying questions. Desire to present information to an internal department and/or large groups of employees.
  • Comfortable meeting and engaging with new people with a warm demeanor, being able to assess circumstances, empathize, and offer help.
  • Apply a high level of attention to detail as well as strong verbal and written skills.
  • Ability to work requiring significant walking or through other means of mobility. This includes standing in position for extended periods, reaching, bending, stooping, pushing and/or pulling, and frequently lifting up to 50 lbs.
  • Working knowledge of Google Docs and Slack. Some experience with Jira would be useful but not required.

The minimum salary for the Mail Services Coordinator position is $55,000 annually and the maximum salary for the Mail Services Coordinator position is $60,320 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
