Job Summary

The Mailroom Facilities Assistant I helps ensure smooth mail and package operations while supporting the daily functions of the Ross community. Reporting to the Operations Manager, you will foster a clean, organized, and welcoming environment through efficient facilities assistance and responsive service. We are looking for strong communication and problem-solving skills, especially when addressing facilities-related inquiries, security concerns, and emergency situations. The Mailroom Facilities Assistant I builds trusted relationships with staff, students, and vendors. By approaching tasks with accountability and a commitment to learning, you will help strengthen a positive, inclusive, and service-oriented work culture.

This position is fully onsite and based in Ann Arbor, MI. The role may require work outside standard business hours, including early mornings, evenings, or weekends. This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of hire and maintain that authorization throughout employment.

Responsibilities*

Mailroom Support 75%

  • Manage the daily operations of the mailroom, including maintaining cleanliness, organization, and safety standards.
  • Sort incoming mail and packages, ensuring accurate distribution to appropriate departments, faculty, staff, and students within the business school.
  • Assist faculty, staff, and students regarding mail and package services, including addressing inquiries, resolving issues, and offering guidance on mailing procedures.
  • Deliver mail and packages to designated locations within the business school, such as faculty offices, administrative offices, and mailboxes.
  • Resolve mail delivery issues by collaborating with team members and external vendors.
  • Ensure functioning of mailroom equipment such as postage meters, mail scales, sorting machines, and other tools used for mail processing.
  • Receive and maintain accurate records of incoming and outgoing packages, including tracking numbers, delivery confirmations, and recipient signatures. Deliver and notify recipients of their arrivals.
  • Follow security protocols for handling confidential mail, ensuring identification and authorization for mail pickup and delivery.
  • Communicate with other departments to coordinate mailroom activities and address any interdepartmental mail needs.
  • Ensure compliance with university procedures related to mail handling, security, and confidentiality.
  • Help with special mail-related projects
  • Provide training and guidance to new team members or student workers assigned to the mailroom, ensuring they understand proper procedures and protocols.
  • Respond to emergency situations such as spills, security breaches, or other incidents requiring immediate attention.
  • Identify opportunities for process improvements and efficiency enhancements within the mailroom operations, proposing solutions to enhance productivity and customer service.
  • Collect and process outgoing mail from departments across the business school, ensuring items are addressed, prepared, and dispatched for delivery

Building & Event Support 20%

  • When mailroom tasks are complete, provide support for facility operations to ensure the Ross complex remains clean, safe, functional, and welcoming for students, faculty, staff, and visitors.
  • Maintain cleanliness and appearance of interior and exterior building spaces including common areas, classrooms, meeting rooms, restrooms, study spaces, patios, and furnishings.
  • Monitor facility conditions and report maintenance, safety, or equipment concerns to the appropriate staff.
  • Ensure common areas are properly cleaned, arranged, and ready for scheduled activities.
  • Help with office moves, room setups, furniture moves, and event preparation activities.
  • Assist with recycling and compost programs and other sustainability efforts.
  • Support business operations by opening and closing the building, maintaining room configurations, and clearing guests from facilities at closing.
  • Set up and take down furniture and event equipment.
  • Assist event coordinators with coordinating room and equipment reservations.
  • Provide backup coverage for the Welcome Desk.

Miscellaneous Operations Support 5%

  • Assist with basic maintenance duties, such as changing batteries.
  • Respond to all medical, fire, and tornado emergencies.
  • Engage with public safety in any emergency.
  • Participate in meetings or committees related to campus-wide initiatives.
  • Assist with special projects and other duties as assigned.

Required Qualifications*

  • High school diploma or equivalent is required.
  • Minimum one year of customer service experience.
  • Minimum one year working in a team environment.
  • Be available to work weekends.
  • Proficient in computer use, including data entry, working in databases, and general software applications
  • Ability to learn new technologies

Additional Information

Salary Information:

The salary offer range for this position is $38,100 to $44,800. Salary offers are determined based on several factors, including a candidate's experience, skills, and qualifications, along with internal equity considerations. It is not common for new hires to be placed at the top of the range.
