The Maintenance Manager is responsible for planning, coordinating, and overseeing all maintenance operations to ensure the safe, efficient, and reliable operation of facilities and equipment. This role supervises maintenance staff, manages vendor and contractor relationships, and ensures compliance with safety, regulatory, and organizational standards while completing, supporting, and facilitating facility improvements and construction projects.
DUTIES AND RESPONSIBILITIES:
Maintenance Operations & Work Order Management
• Oversee and ensure the timely, accurate completion of maintenance work orders.
• Provide technical guidance and hands-on support for complex maintenance tasks.
• Conduct routine inspections to ensure work quality meets established standards.
• Maintain buildings by performing and/or overseeing routine and minor repairs, including painting, plumbing, and general maintenance.
• Develop, implement, and maintain a preventative maintenance program and log
Systems & Facility Oversight
• Monitor, coordinate, and maintain building systems, including electrical, HVAC, boilers, plumbing, and lighting.
• Perform mid-level technical repairs and maintenance as needed.
• Perform safety checks on all facilities, including environmental testing (e.g., carbon monoxide, combustible gases).
• Notify management and recommend major repairs, replacements, or upgrades to building systems and infrastructure.
Safety, Compliance & Risk Management
• Promote continuous improvement of workplace safety and environmental practices.
• Maintain and manage the Safety Data Sheets (SDS) database in compliance with OSHA regulations.
• Ensure all activities comply with applicable laws, regulations, and internal policies, including but not limited to Bank Secrecy Act (BSA), Patriot Act, and Office of Foreign Assets Control (OFAC) requirements.
• Participate in required compliance and safety training and ensure team adherence.
Project, Contractor & Vendor Management
• Act as a liaison for the Chief Operations Manager with design professionals, engineers, consultants, contractors, and subcontractors.
• Coordinate and oversee the work of external partners on construction, renovation, and facility upgrade projects.
• Review and analyze project specifications, drawings, and blueprints.
• Monitor project progress, ensuring alignment with timelines, budgets, and quality standards.
• Coordinate and make recommendations for building-related contracts, including janitorial services, landscaping, snow removal, and equipment maintenance agreements.
• Evaluate and recommend purchases of building systems, tools, office equipment, and furniture.
Financial & Resource Management
• Control expenses through competitive bidding processes and cost analysis.
• Review and approve expenditures within authority; escalate larger expenses for approval as required.
• Ensure proper use, care, and inventory management of tools, equipment, and supplies.
Communication & Customer Service
• Communicate effectively with internal departments, vendors, contractors, and stakeholders regarding maintenance activities, procedures, and project timelines.
• Provide superior internal and external customer service, demonstrating professionalism, courtesy, and responsiveness.
• Maintain a high level of public contact, representing the organization in a professional manner at all times.
Leadership & Staff Supervision
• Supervise maintenance personnel, including hiring recommendations, onboarding, training, scheduling, and work assignments.
• Conduct performance evaluations and address employee performance and development needs.
• Investigate and resolve operational and personnel-related issues within the maintenance function.
• Ensure team productivity, accountability, and adherence to quality and safety standards.
