Hours: 1st shift from Sunday, Monday, Tuesday and Wednesday
The Maintenance & Parts Coordinator ensures that the fleet maintenance requirements are accurately identified, recorded, and prioritized within the maintenance system to meet maintenance safety, operational and Driver needs. The Maintenance Coordinator is also expected to be a team player in both maintenance and parts department and able to communicate effectively with technicians, drivers, outside vendors and Bisons customers.
Key Responsibilities:
Repair Order Management: Open and manage shop and outsourced repair orders, coordinate appointments, and ensure clear communication with Shop Supervisors, Technicians, and Maintenance Coordinators.
Mobile & Satellite Repairs: Schedule and oversee mobile repair orders and satellite EDVIR deficiencies, ensuring timely creation and communication of repair orders.
Dispatch & Shunt Coordination: Keep dispatch and shunt departments informed of trailer repair statuses and required trailer movements.
Repair Order Entry: Accurately record driver requests, preventative maintenance details, and assign technicians with guidance from the Shop Supervisor.
Driver & Customer Relations: Provide courteous service, gather detailed equipment issue information, and communicate schedule changes affecting operations and driver availability.
Administrative Tasks: Create purchase orders, update unit and safety data in TMW, scan and organize PMVI documents, perform satellite updates, and assist with maintaining parts inventory to support repair operations.
Support & Coverage: Assist Parts Team, cover for Shop Supervisor when needed, and support onboarding/offboarding of Owner Operators.
Reporting & Data Integrity: Utilize reports to identify and correct data issues, ensuring accuracy and compliance with established guidelines.
Our ideal candidate will possess the following qualifications:
Proven experience in a maintenance administration or coordination role, preferably within a fleet or transportation environment.
Exceptional organizational and record-keeping skills, with the ability to manage multiple tasks efficiently.
High attention to detail, ensuring accuracy in data entry, documentation, and communication.
Comfortable with learning and using various software systems, including maintenance management platforms.
Strong problem-solving abilities, with a proactive approach to identifying issues, assessing options, and implementing effective solutions.
Excellent interpersonal and communication skills, capable of working collaboratively across departments and providing professional customer service.
