What We Are Looking For
Detail-oriented and organized Maintenance Planner/Coordinator to support our maintenance operations. This position plays a critical role in ensuring the efficient tracking, reporting, and coordination of maintenance activities through computerized systems (Maximo) and manual processes. The successful candidate will be responsible for managing work orders, inventory, preventative maintenance/scheduling, and vendor coordination.
Position Requirements:
Enter and manage maintenance data in the Maximo Computerized Maintenance Management System (CMMS).
Perform preventative maintenance routinely on equipment.
Create, issue, and close work orders for maintenance tasks.
Maintain and update preventive maintenance schedules for equipment and systems.
Input data from completed maintenance tasks into the system accurately.
Track and report fuel usage for company equipment.
Maintain computerized parts inventory and assist with physical inventory counts and ordering.
Monitor pending maintenance work files and ensure timely follow-ups.
Identify and help source materials or parts required for maintenance jobs.
Monitor maintenance data for accuracy and flag discrepancies.
Develop and distribute maintenance reports as requested.
Order maintenance parts and supplies as directed by the supervisor.
Support vendor project coordination, including obtaining quotes and managing timelines/budgets.
Ensure documentation complies with company, customer, and regulatory requirements.
Perform general clerical duties (filing, scanning, copying, posting notices, distributing mail).
Perform additional duties as assigned or required to support the maintenance department.
What You Will Do
High school diploma or equivalent (required)
Associate degree or higher in a technical or business field (preferred)
Experience & Knowledge:
1-3 years experience in a maintenance or industrial environment preferred
Experience with preventive maintenance, electrical/hydraulic systems a plus
Familiarity with inventory control and spare parts management
Experience working with CMMS platforms, preferably Maximo
Proven ability to manage projects with deadlines and budgets
High proficiency in Microsoft Office applications (Word, Excel, Outlook, Access)
Skills & Competencies:
Strong organizational and multitasking skills
Excellent attention to detail and ability to maintain accurate records
Clear communication skills, especially using maintenance and technical terminology
Ability to work independently and under pressure to meet deadlines
Customer service mindset and ability to collaborate across teams
Ability to interpret and follow work instructions and safety procedures
Must pass required safety training and background checks
Valid driver's license with an acceptable driving record
Ability to obtain TWIC (Transportation Worker Identification Credential) if required
Work Environment:
This position may involve occasional visits to field or maintenance sites. Must be able to work in both office and industrial settings and handle physical inventory when necessary.
PHYSICAL DEMANDS:
Must be capable of sitting / standing for extended periods of time
WORKING CONDITIONS:
Must be willing and able to work all days (weekdays, week nights and weekends)
