The Maintenance Planner is responsible for planning, scheduling, and optimizing preventative maintenance and repair activities for the company's fleet of trucks and trailers. This role plays a critical part in reducing downtime, improving fleet reliability, and ensuring compliance with DOT and company maintenance standards. The Maintenance Planner coordinates closely with technicians, operations, and vendors to ensure that maintenance resources are used efficiently and that all work is completed on time and within scope.

Hours: 1st Shift, Monday through Friday
Key Accountabilities/Responsibilities
Policy and Procedure:
Ensuring that all established policy and procedures are adhered to as determined by the Executive and Directors of the company. Any deviations to policy and/or procedure must be communicated to the Fleet Administration Manager. This is accomplished by:
Firm understanding of existing policy and procedures
Communication, training, and clear direction to team members
Being knowledgeable in the basic structure and operating procedures of each department
Program Management:
Responsible for creating a daily Maintenance-Scheduling tactical plan; therefore, ensuring a consistent and manageable workload at all Bison Maintenance Facilities.
Responsible for creating a daily Maintenance-Scheduling tactical plan; therefore, ensuring the lowest possible amount of Driver and equipment downtime.
Work in Conjunction with operations to manipulate equipment destination to direct equipment to specific Maintenance hubs for servicing.
Work together with the Operations Department to ensure synergy between maintenance plan and operational requirements: ensuring fleets meet all maintenance requirements.
Analysis of both internal and external costs for tractor and trailer maintenance.
Responsible for all scheduling activities related to the Tractor and Trailer fleet renewal process.
Coordinate with Driver Services all maintenance scheduling activities related to the Orientation Tractor process ensuring new drivers' satisfaction.
Responsible for all scheduling activities related to the Tractor and Trailer retiring process including Trailer sales and Tractor return.
Responsible for monitoring and scheduling of campaign programs.
Providing input into the development of new and existing maintenance related programs

Required Knowledge, Skills, and Abilities:
Willingness to learn and align with company policies, procedures, and operational philosophy.
General knowledge of trucking operations and industry best practices.
Familiarity with operating practices, service capabilities, and standards.
Strong understanding of truck and trailer systems, repair processes, and preventive maintenance standards.
Working knowledge of DOT, FMCSA, and other relevant safety regulations.
Awareness of industry activity, trends, changing freight lanes, and rate fluctuations.
Basic knowledge of North American geography and trucking rules and regulations.
Experience using fleet maintenance or CMMS software (e.g., TMT or similar systems).
Proficient in Microsoft Office Suite, particularly Excel, Outlook, and related tools.
Excellent organizational and time management abilities.
Ability to manage multiple tasks in a fast-paced environment.
Strong problem-solving and decision-making skills.
Ability to analyze maintenance data to improve scheduling accuracy and efficiency.
Strong written and verbal communication skills.
Excellent customer service skills and the ability to collaborate effectively across departments.
