Description

The Department of City Planning ensures the highest quality of life for present and future generations by providing excellent planning and enforcement services emphasizing the development of safe, healthy and fun communities where people choose to live, work and play.

The position is responsible for supporting departmental operations through comprehensive administrative coordination, system management, and records oversight. This role ensures the efficient functioning of the City's permitting system, facilitates interdepartmental communication, and provides essential support for projects, programs, and public information requests.

Essential Functions

Essential functions include but are not limited to:

  • Manage the City's permitting system built on a Salesforce Platform by coordinating system development. Serves as a super admin for internal users (password resets, troubleshooting issues as they arise, putting in maintenance cases to the vendor, etc.). Serves as liaison for system needs such as building reports, letter templates and small system changes.
  • Coordinates departmental response to FOIA requests, including providing information on permits and inspections, as requested.
  • Solicits the assistance of various city personnel and consultants to accomplish project objectives, provide analysis, and develop documents consistent with project plans.
  • Assist other staff with special projects, program issues and data management.
  • Management of all records both digital and physical for the department.
  • Maintain and supervise revenue activities for the department, including yearly budgeting activities.
  • Performs administrative duties by answering telephone calls, maintaining files, ordering supplies, and other financial duties as assigned.
  • Maintain the absolute confidentiality of all records and information.
  • Additional responsibilities as required in a complex and changing work environment.

Education/Experience

Work requires broad knowledge in a general professional or technical field. Knowledge is normally acquired through four years of college resulting in a Bachelors degree or equivalent.

Required:

  • Three years experience in data analysis or related field, or an equivalent combination of education and experience.

  • Valid Drivers License required.

Work Schedule:

  • Monday thru Friday, 8:00 am to 4:30 pm

  • Regular full-time and permanent part-time employees may receive paid holidays, vacation and sick leave, employer paid pension plan, basic life insurance, voluntary participation in medical and dental, Section 457 deferred compensation, long-term disability, optional life insurance for self, spouse and children, medical and dependent care reimbursement plans, access to membership in credit union and employer provided parking.

If you are hired October 5, 2010, or after to a position with City of Norfolk Retirement System benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit. This will be a pre-tax payroll deduction.

If you are hired January 1, 2022, or after to a position with Virginia Retirement System (VRS) benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit. This will be a pre-tax payroll deduction.

  • The Tuition Assistance Program is established to encourage employees toward continued self-development and education. Permanent full-time and permanent part-time classified, unclassified permanent, full-time special projects, and constitutional employees who have completed six months continuous service will be eligible to apply. The applicant's school of enrollment must be an accredited institution.
