The IT Services Division has an opening for a Management Assistant to join the Administrative Team. This position performs a variety of administrative duties that enables management and administrators to function more effectively. The incumbent will be expected to communicate and interact with the staff, agency leadership, business partners and vendors.

This position is not eligible for telework.

EXAMPLE OF DUTIES:

  • Provide Administrative support to the IT Services Division and Department.
  • Ensure support is provided to staff so they can operate efficiently (computer equipment, office supplies, scheduled meetings, travel/training arrangements, etc.).
  • Submit requisition in Luma for Division purchases, research purchase orders and invoices.
  • May supervise any division administrative staff.
  • Interpreting, applying and implementing policies and procedures.
  • Contractors - Keep profile updated in Time keeping system, send time-sheet reports and renew contracts.
  • Managing appropriation of positions.
  • Accounting - submitting/tracking invoices and resolving any billing issues.
  • Perform work as the division's Human Resources Liaison (TAAP's, Job Postings and Onboarding).
  • Other duties may be assigned.

MINIMUM QUALIFICATIONS:

You must possess all the minimum qualifications below to pass the exam for this position.   • Experience interpreting and applying regulations or policies and procedures. Typically gained by at least one year of experience reviewing for compliance with laws, regulations, or policies and procedures and explaining discrepancies or explaining to others how laws, regulations, or policies apply to specific situations as a regular part of the job.
  • Experience planning, organizing, implementing, and evaluating special projects. Typically gained by experience planning, organizing, implementing and evaluating at least two special projects (special projects exist for a short duration, are outside of normal responsibilities and require significant effort and prioritizing of tasks in order to be completed within the defined time frame.)
  • Experience independently researching, compiling, developing, and summarizing material for reports on a frequent or recurring basis. Typically gained by at least one year of experience in a work, college, or volunteer setting clearly showing how each of the four components listed was required.
  • Experience analyzing information, identifying problems, defining alternatives, and developing recommendations for management/administrators. Typically gained by at least one year of work experience that should have included dealing with staff, overtime, budget, and/or contract problems.
