POSITION OVERVIEW

The Manager, Administration at Sundance Institute oversees our Colorado office, remote hub on-demand workspaces, and related procedures to support the success of our employees across regions. This role is responsible for creating a seamless, productive, and welcoming environment for both in-person and distributed teams. Beyond traditional office management, this role acts as a culture steward, designing an employee engagement program, managing complex HR administrative requests, and scaling our physical footprint through the procurement of permanent and temporary work spaces.

Working closely under the Assistant Director, Human Resources and Administration, the Manager, Administration operates with significant independence and works cross-departmentally to align facility management with the broader employee experience and foster a culture of camaraderie and recognition.

This full-time position is based in Boulder, Colorado and is designed as a hybrid role. While the role may begin fully remote until an office location is established, the hybrid expectations may vary throughout the year. During office setup, Festival preparation, and other key operational periods, the role will require five (5) days per week onsite and may include extended hours, evenings, and weekends. Outside of these periods, the typical hybrid schedule generally requires three to four (3?4) days per week onsite with the option for one to two (1?2) remote workdays depending on operational needs.

Top priorities include but are not limited to?

  • Managing the CO office and serving as the primary point of contact for visitors and critical logistics such as mail and package logistics, transportation and safety protocols, and office tours for new hires.

  • Overseeing facility management by facilitating office access through keycard administration, camera surveillance, and other protocols including maintaining onsite storage rooms, communicating with vendors providing parking, cleaning, repairs, and procuring office and kitchen supplies.

  • Supporting the Customer Support team to manage a general email inbox by fielding and routing admin-related inquiries, drafting responses, and communicating administrative updates.

  • Managing administrative budgets, including forecasting, cost-saving analysis, and invoice processing.

  • Managing key employee change request forms, such as outside activity disclosures, work-mode changes, and administrative needs, and including internal stakeholders as needed to facilitate cross-department system updates.

  • Maintaining a deep understanding of artist programs, application and event cycles, and general Institute and Festival information to provide guidance to staff and the public.

  • Collaborating with the HR Talent and Tech Services teams to enhance the onboarding journey for new hires to include training on administrative processes, creating procedural documents, conducting new employee orientation, and updating orientation materials as needed.

  • Project managing multi-functional efforts to identify and acquire new temporary/permanent offices or storage units and collaborating across departments to define technical specifications, troubleshoot layouts, and ensure deadlines are met.

  • Leading the real estate lifecycle by partnering with Legal and key stakeholders to initiate searches with brokers, coordinate site tours, and review contracts for administrative necessities, and prepare materials to facilitate a final site selection.

  • Developing and implementing employee appreciation and recognition efforts to increase employee satisfaction and deepen the connection to the organization?s mission and values. This may include events, activities, initiatives, and gatherings.

  • Designing office traditions and social rituals to strengthen interpersonal relationships and curating internal community channels to drive daily engagement, sharing wins, and maintaining a consistent organizational culture across distributed teams.

  • Sourcing content and managing the creation of a monthly newsletter highlighting employee changes, employee-focused initiatives, employee milestones, cultural recognition dates, and other updates.

  • Collaborating with internal EIB, Accessibility, and HR groups to foster a culture of belonging by launching Employee Resource Groups (ERGs) and mentorship programs while implementing inclusive design standards to ensure an equitable experience.

  • Managing short polls and employee experience survey pulse checks and partnering with the HR Administration Manager to analyze exit interview data, propose strategic plans for improvement, and co-present learnings.

  • Leading environmental sustainability by promoting recycling programs, energy-saving measures, and green procurement practices.

  • Supporting the Manager, HR Administration in the facilitation of health and wellness initiatives, virtually, and in-person.

  • Hiring, training, and supervising a seasonal employee, providing clear direction and performance feedback.

You have the following direct or transferable skill sets:

  • 3 years of office management, HR/people operations, event planning, or related experience.

  • Strong leadership skills, including experience supervising employees in-person and remotely.

  • Exceptional verbal and written communication for clear stakeholder updates and documentation, coupled with meticulous attention to detail in data entry and quality assurance.

  • Ability to operate independently where appropriate, and understand when to escalate issues.

  • Skilled in project management including the ability to manage and prioritize to meet simultaneous deadlines.

  • Strong analytical skills and ability to work on basic processes as well as strategic initiatives.

  • Working knowledge of and proficiency in Google products and budget management experience preferred.

  • Valid driver?s license and successful completion of MVR background check preferred.

  • Legal authorization to work in the United States.
