The Manager, Gifts Administration performs key operations-related activities for the Development department and partners with internal and external parties to ensure compliance pertaining to recording gifts. The incumbent also manages supporting staff.

Principal Duties and Responsibilities (*Essential Duties)

Development Operations

  • Provides customer service support to fundraisers, regional staff, other departments, and partner agencies regarding gifts transactions, data entry, operational processes, or implementation of new systems.
  • Collaborate closely with Finance department to ensure proper gift designation and accounting requirements matching gift requirements, etc. are met, as well as ensure data consistency between finance systems and fundraising databases. Operate as the gifts processing SME.
  • Oversees data quality and transaction accuracy and manages customer service related to the USO’s charitable contributions. Manages and advises on the reporting of charitable giving activity.
  • Oversee and perform monthly financial reconciliation process for DevOps to ensure parity between Finance data and Development Operations data, including tracking open receivables.
  • Oversee, including developing, implementing, and monitoring, operational protocols for all major gifts, planned gifts, foundation, corporate, and third-party fundraising efforts.
  • Serves as primary backup to the Director, Gifts & Data Systems Administration for gifts related topics, including decision-making responsibilities, providing support to the Gifts & Data Systems teams, and cross training team members within the teams.
  • Collaborate with Director, Gifts & Data Systems Administration in creation of Development Operations Policy and Procedures, and best practice job aides.
  • Collaborate with Director, Gifts & Data Systems Administration in ownership and management of fundraising vendor relationships, including updating vendor gift processing instructions.
  • Collaborate with cross-functional teams on the creation and review of reports and data requests to ensure consistent data definitions, adherence to enterprise data governance, the optimal use of existing resources, as well as defining and conducting data hygiene processes.
  • Oversee, including developing, reviewing, and monitoring, receipt and acknowledgement process with the Coordinator, Gifts & Data.
  • Provide pro-active and reactive data support for fundraisers as needed.
  • Lead, manage and mentor staff reports.
  • Other duties as assigned.

Job Specifications

  • Bachelor’s Degree in Marketing, Business Administration or related field preferred.
  • 5+ years work experience in a fundraising/development operations role, including 1+ years in a supervisory capacity. Relevant experience in a non-profit, military, multicultural and/or global organization preferred.
  • Strong analytical, communications and organization skills.
  • Knowledge of Salesforce is a plus.
  • Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism. Ability to manage and influence external relationships.
  • Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Office and online fundraising platforms.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.

  • Ability to perform basic math, comply with Payment Card Industry (PCI) standards, and follow proper cash/donation handling and reporting procedures while performing gift processing.
  • Ability to perform business/accounting functions, including project management and budget reconciliations.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.

  • The salary range for this position $84,000-$110,250.
  • To support pay transparency, this posting includes the anticipated base salary range for this role. Compensation is determined based on several factors including geographic location, relevant experience, specialized skills, certifications, and overall alignment with the position requirements. Our compensation practices are designed to ensure market competitiveness and internal equity across roles and levels.
