Job Summary and Qualifications

Under management of the Division AVP of Medical Staff Services, the incumbent provides support and oversight of services for the credentialing and privileging and database management functions of the Division Medical Staff Services Department (MSSD) including, but not limited to, Cactus file review for new applicants and re-applicants for membership and/or clinical privileges completed by the Credentialing Processing Center (CPC), updating the Cactus practitioner records in the Cactus database as appropriate, and utilizing HCA Healthcare tools for provisioning practitioners with appropriate access to HCA clinical systems and role based applications. 

  • Oversee Division centralized Medical Staff Services credentialing and privileging operations for privileged and non-privileged providers.
  • Develop and implement Division standardized credentialing and privileging processes and job aids in accordance with accreditation/regulatory standards, HCA Healthcare policies, and Medical Staff governance documents.
  • Facilitate orientation and onboarding of new Division Medical Staff Coordinators.
  • Educate Division Medical Staff Coordinators on internal processes for credentialing and privileging tasks, database management, medical staff administration and system access.
  • Manage and support facility requests for temporary privileges and expedited file requests.
  • Oversee dynamic expiration management process (PARA.PP.CRED.36 and MSS-003).
  • Develop reports, queries and documents when requested to support Division requests.
  • Routinely audit Cactus and monitor MSS Metrics for performance improvement and to enhance operational effectiveness.

  • Respond to emails and voicemails promptly; manage monitoring of shared mailbox and calendar.
  • Oversee compliance of hospital non-privileged provider licensure, NPI and exclusion checks in accordance with Ethics & Compliance Policy COG.PPA.002.
  • Support and facilitate information Sharing in accordance with COG.PPA.001.
  • Assist with preparation for regulatory, internal and accreditation surveys.
  • Respond to annual QIO Audits (KEPRO) on behalf of Division facilities.
  • Manage Physician Learning Center/Healthstream database for provider education.

  • Support provider system access requests and manage escalated provider access issues from Coordinators, escalating to Access Management team or Division AVP when necessary.
  • Support management of the Meditech/eHR Dictionary related to practitioner permissions and privileges.

  • Coordinate/Facilitate/Attend Division Medical Staff Services meetings – scheduled as needed (Webcam required).
  • Work scheduled hours and communicate any changes to supervisor.
  • Coordinate work schedules and Paid Time Off for Medical Staff Coordinators.
  • Collaborate with Division leaders on pertinent projects as needed and perform other duties as assigned.

EDUCATION

High School diploma or equivalent required. Bachelor’s degree in healthcare management, business, or related field of study preferred.

EXPERIENCE

Minimum of 3 years comprehensive credentialing experience in an acute care hospital or Credentialing Verification Organization (CVO) setting.

1 year supervisory/management experience preferred.

HCA Healthcare credentialing and Cactus experience preferred.

CERTIFICATION

Certified Professional Medical Services Management (CPMSM) and/or Certified Provider Credentialing Specialist (CPCS) – May be obtained within 1 year of hire date.
