Department: Disbursements Info Systems

Location: 3535 Market Street

Hours: Hybrid, M-F, Daylight with limited occasional evening and weekend hours as needed

 

The Manager of DIS-AP (Disbursements IS Accounts Payable) manages and oversees the daily operations of the DIS-AP team while providing critical insight and support to Department Leadership including Director of Director Payroll and Disbursements, Director of FIS and Director of Accounts Payable, in regard to FSM strategy. DIS-AP is responsible for the production of "cash" disbursements (ACH, credit card, paper), reconciliations, and escheatment, third party data exchanges (PNC, BOA, UPHS vendors), electronic and summary invoicing, and compliance reporting (1099's, PA State Withholding), EDI Invoices. The Manager of DIS-AP participates in FSM implementation/change management teams as needed. Leads testing, enhancement, training and troubleshooting efforts as it relates to Accounts Payable related items. Works on individual development and cross training of team members. Works with team members to maintain documentation for processes, audits, and reporting needs. Develops processes for Business Continuity. Liaison with Corporate IT for system implementations, upgrades and infrastructure, necessary to support Finance operations and reporting.

 

Accountabilities

Systems

  • Provides technical and application support for systems used to support Accounts Payable and DIS (Infor)
  • Supports system upgrades, manages enhancement requests, and manages Infor Tickets to resolution.
  • Works with IS Corp apps with tools and flows to enhance workflows and remove manual steps.
  • Supports AP and DIS team members and processes to ensure efficient use of application functionality, access, and security.
  • Data Feeds

  • Works with IS Corp Apps to build and maintain data repository to support needs, automate data extracts, uploads and interfaces.
  • Develops and maintains third party inbound and outbound data exchanges (ACH and CFA payment files, Electronic and Summary invoicing, Patient Refund processing)

Compliance

  • Supports data needs for 1099, PA State Withholding, and other reporting

Data Analysis/Reporting

  • Develops, implements and maintains solutions to support Reporting needs of Organization
  • Provides data and reports to AP to support daily operations, audits and data cleansing.

Manages Team

  • Manages the DIS Team including workload balance, developing documentation, and training

Training and Support

  • Provides role specific training to department members, ADIS and AP team members and external customers.

Functionality/Upgrades/Enhancement

  • Supports AP and DIS team members and processes to ensure efficient use of application functionality, access, and security.
  • Works with IS Corp apps to automate workflows, reduce data entry, and streamline transactional processing.
  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
  • Other duties as assigned to support the unit, department, entity, and health system organization

 

Minimum Requirements

Required Education and Experience

  • Bachelor's Degree is required
  • 5+ years Experience in Systems related work is required
  • 3+ years Accounts payable experience is required
  • Supervisory experience is preferred

  • Technology: Advanced Excel Skills
  • Technology: Advanced knowledge of Infor System – specifically AP, CB, and GL modules
  • Communication: Demonstrated interpersonal/verbal Communication skills
  • Communication: Demonstrated customer service skills
  • Ability to build and lead teams
  • Strong data mining and archival strategies
  • Ability to develop and implement training programs for staff
  • Strong knowledge of computer hardware and software
