JOB SUMMARY: The Manager of the Office of Clinical Education will develop and oversee operations to ensure all tasks assigned to the Office of Clinical Education are met with a focus on meeting accreditation requirements and personal management.xc2xa0 The position requires the development of processes standardizing to build efficiencies and customizing where needed to address the unique needs of the Lake Erie College of Osteopathic Medicine. In addition, the Manager of the Office of Clinical Education will be responsible for helping to create an internal process in Clinical Education that includes but is not limited to: assignment and management of clinical training sites, effective assessment process to allow grades to be completed for all clinical rotations in a timely manner, IT and operational coordination and integration, and process and workflow development.
CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:
Promotes and preserves the mission of LECOM;
Maintain confidentiality, professional appearance, and pleasant demeanor;
Contribute and be responsible for overall student success in clinical training;
Guide the implementation of technology to improve the efficiencies within Clinical Education, ensuring the college's technology is being utilized to meet the needs of Clinical Education;
Collect and process data; interpret and generate statistical reports; monitor completion of rotation grades, financial aid, and admissions activity; accept responsibility for achieving key metrics as identified by executive administration; and provide detailed operational reports to stakeholders as required;
Establish quality assurance protocols and monitor the fidelity of Clinical Education resources;
Ensure that Clinical Education policies comply with government regulations impacting students and that institutional mandates and requirements are met and applied;
Identify policy issues related to Clinical Education collaborating with relevant stakeholders to develop and implement solutions;
Lead in the development and maintenance of comprehensive manuals that outline policies and procedures related to Clinical Education operations;
Create and foster a team environment where staff members are encouraged to develop and grow by being given opportunities for training, event coordination, project management, data analysis, or other areas of expertise;
Manage office staff and related functions, motivating and coaching the team to ensure high levels of student access and success;
Conduct staff appraisals;
Carries out special projects as assigned;
Effectively communicates with affiliated organizations, consultants, vendors, etc., in all matters of mutual importance;xc2xa0
Ensure the following tasks are completed by the Office of Clinical Education:
Ensure the student site assignment process, E*Value Optimization Scheduling (EVOS) tool, is successful;
Coordinate implementation E-Value / Student Portfolioxe2x80x99s on an as needed basis;
Track student progression, including setting up assessment examinations for all clinical sites, working with all entities to manage the process and setting up required educational plans for students;
Implement systems to improve efficiency for obtaining preceptor evaluations and ensuring grades are completed for each clinical rotation. xc2xa0Ensure that subject exams and rotation quizzes and all assignments are entered to finalize grades in a timely manner;
Complete accreditation reports for outside entities, including but not limited to, AOA/COCA, AACOM, U.S. News and World Report, etc.;
Establish clinical goals, outcomes, and measures to assess student, faculty, and affiliate performance, efficiency, and productivity;
Ensure that the Medical Student Performance Evaluation (MSPE)xc2xa0letters are completed in a timely manner;
xc2xa0Develop the network of extramural rotations and clinical community sites to support the pre-doctoral clinical education program;
Establish and track affiliation agreements;
Ensure proper appointment and credentialing of adjunct faculty on an as-needed basis;
Engages medical education leadership teams and administrative support at affiliate sites by supporting and coordinating:
Educational Programs
Regularly scheduled meetings (Monthly-Quarterly) with an agenda tracking key items to include:
Wellness of students
Identify students with difficulties
Student attendance and engagement
Preceptor faculty engagement and opportunities for professional development
Change in clinical faculty to remove or add for LECOM faculty appointments
Needs assessment of site
Rotation review and identify opportunities for rotation development
Ensure Continuing Medical Education (CME) processes are meeting the needs to award community preceptors and support educational programs;
Engage affiliate site medical education leadership teams with LECOM via regular communication, such as a Clinical Education Newsletter; organizing and coordinating annual hospital days, and other outreach initiatives;
Engaging LECOM Regional campuses and assisting in organization and coordination of annual Regional Dean Retreat;
Ensuring process for clinical education grants and other outreach to clinical training sites is effective;
Establish extramural rotations and community-based sites for pre-doctoral education;
Engaging community preceptors/clinical faculty, including participation in faculty development offerings
Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;
Participate in scholarly activity so to enrich and broaden the student learning experience;
Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach; and
Other duties as required / needed to maintain an efficient and effective Office of Clinical Education.
