Job Summary and Responsibilities

This position reports directly to the Designated Institutional Official (DIO) and works closely with the Chief Medical Officer (CMO) to support GME program growth and compliance. The position provides oversight for all administrative aspects of the Graduate Medical Education Program. Specific responsibilities include:

• Project development and implementation • Employee interviewing, hiring, orienting, and supervision • Overseeing marketing and communication relations • Managing and reconciling all program finances, including grants • Overseeing all aspects of resident recruitment through the National Resident Matching Program (NRMP) • Supporting the Designated Institutional Official to ensure compliance with the Accreditation Council for Graduate Medical Education (ACGME) requirements, National Residency Matching Program (NRMP), the Electronic Resident Application Service (ERAS), and the California Medical Boards

Position Scope

This position reports to the Designated Institutional Official and is responsible for the management of Graduate Medical Education Programs activities and resources on a daily basis. This includes:

• Staffing, directing, controlling, and overseeing the patient care and educational efforts of the department • Providing administrative, informational, and clerical support to the residents, faculty, other clinicians, and educators of the program • Overseeing the work of the coordinators as well as executive duties as assigned • Aiding in the creation, monitoring, and reconciliation of the Residency Program annual operating budget, promoting cost-effectiveness through budgetary creation and compliance • Grant management, when available

Compliance and Accreditation

The incumbent is responsible for overseeing compliance to multiple accrediting, documenting, certifying, and licensing agencies through IRIS, PSURV, AMA-FRIEDA, ROLIC, NRMP, ABFM, AAFP. This requires constant efforts to stay abreast of internal and external bylaws, rules, regulations, policies, procedures, and requirements; and ensures that assignments for clinical service coverage and training supervision are current and accurate.

In the event of an emergency, the incumbent is responsible for overseeing the modification of assignments, rescheduling individuals, and negotiating support to ensure continuous patient care coverage and supervision of all areas.

Contract Management

The incumbent is responsible for supporting the Designated Institutional Official in managing all contracts related to Residency Programs, Graduate Medical Education contracts with other hospital systems, community physicians attending residency program rotations.

Additional Responsibilities

The incumbent is responsible for developing and maintaining good communications with administrative staff, internal and external contacts to provide interpretation, expertise, and advise pertaining to ACGME accreditation, CMB licensure, DEA certification, and other requirements relative to the clinical and educational functions of the position.

Job Requirements

Education & Experience:

• High School Graduate in a health-related field or a combination of education and experience • Minimum of one year of experience in institutional coordination or administration related to ACGME requirements • High School GED preferred • Bachelors degree or other with significant work experience in GME or academic program administration
