The Marketing Assistant provides administrative and operational support to the Marketing Department, helping ensure the successful execution of marketing initiatives, branch support programs, vendor relationships, and company-wide campaigns. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects in a fast-paced environment while collaborating effectively across departments.
- Manage and monitor the shared marketing inbox, ensuring timely distribution and follow-up of marketing requests to the appropriate team members.
- Administer employee recognition and incentive programs by awarding credits for company-wide contests, achievements, and rewards through the internal employee incentive platform.
- Coordinate the procurement and distribution of branch marketing promotional items and giveaways, including:Evaluating and selecting new promotional products.
- Preparing annual and campaign-specific giveaway budgets.
- Collecting and consolidating branch orders.
- Coordinating with vendors to ensure timely fulfillment and delivery.
- Providing newly opened branches with promotional starter kits.
- Maintain accurate and up-to-date branch information on the company website and internal directories.
- Reconcile monthly marketing invoices and maintain vendor payment records for direct mail and branding partners.
- Assist with the planning and execution of company-wide philanthropic initiatives, charitable giving programs, and community outreach efforts.
- Partner with the Marketing Analyst to track branch receivable landmarks, coordinate plaque and award orders with vendors, and facilitate distribution to branch locations.
- Coordinate and complete large-scale shipments to branch locations as needed throughout the year.
- Use AI-powered tools, including ChatGPT and Claude, to support content creation, communications drafting, research, and workflow efficiencies.
- Provide general administrative and operational support to the Marketing Department as needed.
Requirements:
- Associate’s or Bachelor’s degree in Marketing, Business Administration, Communications, or a related field preferred but not required.
- Minimum of three years of administrative, marketing support, or related professional experience.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Access.
- Experience using AI productivity tools such as ChatGPT, Claude, or similar platforms.
- Exceptional attention to detail with strong analytical and problem-solving abilities.
- Excellent organizational and time-management skills, with the ability to effectively prioritize competing responsibilities.
- Comfortable working with large datasets and maintaining accurate records.
- Strong written and verbal communication skills.
- Self-motivated teammate who can collaborate effectively while also working independently.
- Ability to adapt in a fast-paced environment and manage multiple projects simultaneously.
