Full Time: $20.75-$22.00 per hour
Schedule: Monday - Friday, 8:30am-5:00pm

GENERAL SUMMARY:
The Marketing Assistant is responsible for assisting the front office of the Marketing Department and assisting with the logistics of resident moves. They welcome visitors and clients, answer a multi-line phone, and support the Marketing team with a wide variety of clerical and administrative duties. Duties are for a specified period as determined upon hire.
PRINCIPLE DUTIES:
Assists with home tours and walk-throughs to prepare future residents for their move.
Conduct call-outs to prospective clients with overdue activities to clean up lead database.
Completes pre move-in and post move-in checklists to ensure homes are ready for move in.
Orients new residents to the community and ensures a smooth transition to the operations team.
Organizes detailed records of current and future depositors, assists in processing sales paperwork, updates the database, and creates files.
Ensures inventory for brochures, collateral, and other essential supplies are available and up-to-date.
Maintains and orders office supplies, as directed.
ADDITIONAL DUTIES:
Answers a multi-line telephone and voice-mail system. Greets customers upon arrival, communicates with internal departments and residents, assisting as needed.
Supports the Marketing Director and Marketing team with general clerical duties including copying, scanning, faxing, collating, organizing, creating brochures, mailing newsletters, etc.
Prepares and processes incoming and outgoing mail.
Maintains Excel spreadsheets and other reports as necessary.
Assists with planning and coordinating of on and off-site marketing presentations and events to include venue selection, menu planning, invitations, RSVPs, valet and other vendor logistics.
Assists with completion of Move-in Paperwork as needed.
Performs additional work duties and responsibilities as assigned.
QUALIFICATIONS:
Minimum three years administrative support experience, at least one of which was in a sales environment.
Excellent customer service skills.
Excellent written and verbal communication skills.
Strong organizational and time management skills. Strong attention to detail.
Ability to handle multiple priorities while working in an area of constant distractions.
Good judgment and problem solving skills.
Strong computer skills, including Microsoft Office Suite (Word, Outlook, and Excel). Ability to learn new computer applications.
Associate or other college degree a plus
CRITICAL FUNCTION:
This position is essential to the safety of our residents and staff; and to the operation and function of the community. Employee may be recalled to report to work for an emergency, unusual occurrence, resident care need, visit from regulatory/governing agencies or any other event deemed necessary by the Executive Director, Administrator, and designee.
