Located in modern offices in Times Square, the Nasdaq MarketSite Events Team role supports and collaborates with our business partners internally to manage and execute listed and newly listed company and client events and meetings in our Client Experience Center. This role will focus on providing tactical support for managing day‑to‑day workflow, project management, and technologies for successful event operations, along with supporting daily opening and closing bell ceremonies for a wide range of clients worldwide. To be successful, you'll need to be a proactive, resourceful, detail‑oriented, solutions‑oriented professional who thrives in a demanding, fast‑paced environment and is a team player who puts clients first. This position is a hybrid role: 4 days a week in office after the initial 90‑day onboarding period, during which 5 days in office will be required.Business Operations (70%) Be the subject matter expert and owner of the Event Management System including development (in partnership with IT), enhancements, maintenance, and training of users to improve tool effectivenessManage all client (internal and external) event space reservations and bell requests via the Event Management SystemDevelop weekly reports shared across the business on bells and eventsCoordinate and secure weekly assigned bell hosts with the Listings TeamManage the team's Monday.com project management boards for maintenance and enhancementsManage and track all budget, billing, inventory, expenses, estimation of resource requirements, and cost considerationsProvide analysis and reporting metrics around all events monthlyManage internal tools to centralize communications to the businessResolve operational issues, documenting problems and finding long‑term solutionsImplement technology changes and operating procedures where appropriate to improve efficiencyHelp identify gaps and/or opportunities, driving efficienciesImplement and maintain event SOPsCreate and proof Tower SlidesOrder, track, and ship client giftsLiaise with vendors to identify unique opportunistic ways to market and generate awareness of MarketSite and grow sales revenueSupport the Head of MarketSite Events with ad‑hoc special projectsProactively take on new, impactful initiatives and exhibit curiosity for learningEvent Operations (30%) Greet all bell ceremony and VIP guests with a warm welcome upon arrivalSupport Event Planners in the daily execution of live broadcasted opening and closing bell ceremoniesSupport Event Producers in the execution of first‑trade ceremonies for IPO clientsCheck all meeting rooms and event spaces at the start of the dayPlan and execute meeting requests in the event spaceDemonstrate superior customer service to all clientsSupport bookings of MarketSite opening/closing bell ceremonies that become available with short noticeTake a proactive stance in identifying timely and worldwide events that translate into booking opening/closing bell ceremonies and events with 24‑48 hours of noticeAct as liaison with other departments for necessary information sharing and event awarenessExecute client photo opportunities and bell viewingsCheck and prep all event meeting spaceQualifications Bachelor's degree, preferred in communications, marketing, or hospitality1‑2 years of experience in operations, events, marketing, account management, business planning, or a similar fieldPrior experience and/or interest in the events industry is a plusStrong analytical, planning, organizational, and problem‑solving skillsProven experience working with marketing and budget management systemsClient‑facing role with excellent written and verbal communication skillsHighly organized with outstanding attention to detailSelf‑starter with exceptional operational, project, and time‑management skillsAmbitious, proactive, and resourceful with a solutions‑oriented mindsetProficiency in Microsoft Outlook, Word, Excel, and PowerPointHelpful experience with Salesforce and Monday.comWhat We Offer Base pay range for this role is $70,000–$123,000.
