Overview

The CE Material Control Clerk supports Civil Engineering operations by managing work orders, materials, and associated documentation to ensure an efficient, compliant workflow. This role is responsible for organizing and tracking work orders, completing and maintaining accurate records, coordinating across, departments, and managing supply activities such as material requisitions, receiving, issuing, and inventory control.

The CE Material Control Clerk monitors inventory levels, ensures the timely availability of parts and supplies, and maintains accurate material accountability to support mission readiness and facility sustainment.

Responsibilities

  • Coordinate with CE shops, operations, and supply/warehouse personnel to align material availability with scheduled work.
  • Communicate material status, delays, and changes to supervisors, craft leads, and customers in a timely manner.
  • Maintain organized electronic material issue slips, purchase requests, receiving documents, and related CE supply records.
  • Generate routine reports on work status, backlog, material usage, stock levels, and supply transactions for management review.
  • Coordinate with planners, supervisors, procurement, and warehouse personnel to ensure required materials, parts, and tools are available in support of scheduled work.
  • Maintain accurate inventory records for CE materials, tools, consumables, and repair parts.
  • Process material requests, pick lists, and issue materials to work orders; document all supply transactions in the appropriate systems.
  • Assist with receiving, inspecting, labeling, storing, and staging materials in accordance with technical guidance, organizational policy, and safety requirements.
  • Monitor stock levels, identify low-stock or excess items, and coordinate replenishment or disposition actions in line with contract and customer requirements.
  • Maintain and protect records in accordance with document control, privacy, and asset management policies.
  • Serve as a primary point of contact for CE work order and material status inquiries.
  • Provide timely, professional customer service to CE shops, planners, procurement, and other stakeholders regarding parts availability, order status, and lead times.
  • Escalate issues affecting mission support, schedule, material availability, or compliance to appropriate leadership.
  • Performs other duties as assigned to support mission requirements.

Qualifications

Minimum Qualifications

Education: Equivalent experience from which comparable knowledge and job skills can be obtained may be substituted for education, if degree is required.

  • Must have a high school diploma or equivalent.

Experience:

  • Prior experience in material control, supply, logistics, warehouse operations, maintenance support, or related administrative role preferred.
  • Experience in maintenance or work order systems (e.g., CMMS, IWIMS, TRIRIGA, Maximo, NexGen IT, or similar) and/or supply systems is highly desirable.

Skills and Technology Used:

  • Strong organizational skills with the ability to manage multiple work orders, material requests, and priorities in a fast-paced environment.
  • Proficiency in data entry and use of office software (e.g., MS Excel, Word, Outlook).
  • Strong attention to detail and accuracy in both maintenance and supply documentation.
  • Ability to work collaboratively with cross-functional teams (CE shops, procurement, warehouse, planners) and interact professionally with customers and leadership.
