Job Summary:

The Material Coordinator is responsible for tracking, coordinating, and controlling material and

asset-related activities across three critical operational areas:

  • Incoming chassis inspection, repair coordination, and post-production body
  • repair management
  • After-sales material support repair and/or customer replacement part coordination
  • Participation in DMR (Discrepant Material Report) and MRB (Material Review Board) processes for externally sourced materials.

This role serves as a cross-functional liaison between Production, Quality, Purchasing,

Inventory, After-Sales, body shops, and chassis manufacturers to ensure timely resolution of

material and asset issues while protecting production schedules and customer commitments.

This is a coordination-heavy, detail-oriented role requiring strong follow-through and structured

tracking discipline.


Key Responsibilities:

Chassis Receipt, Inspection & Repair Coordination

A. Incoming Chassis Inspection

  • Coordinate receipt of incoming van chassis.
  • Collect PDI documents from incoming inspection using an approved checklist.
  • Log discrepancies in tracking system.

B. Manufacturer Claim Coordination

  • Submit and manage warranty or transit damage claims with the chassis manufacturer.
  • Track claim status and resolution timelines.
  • Coordinate approval for repair scope and reimbursement.
  • Escalate unresolved claims as needed.

C. Body Shop Repair Coordination (Pre-Production)

  • Schedule repairs with approved body shops.
  • Ensure repair work meets manufacturer and company quality standards.
  • Track turnaround time and repair completion to align and report to MPS Specialist
  • Confirm documentation is received before releasing chassis to production.

D. Post-Production Body Repair Coordination

  • Identify cosmetic or damage issues discovered during or after production.
  • Coordinate scheduling and logistics for repair.
  • Ensure repairs do not delay delivery commitments when possible, escalate exceptions
  • Maintain tracking of repair cost and claim recovery.

After-Sales & Replacement Part Coordination

A. Customer Repair & Replacement Support

  • Partner with the After-Sales team to identify material needs for customer repairs.

Coordinate scheduling of:

  • Replacement parts
  • Repair time allocation or repair process guides
  • Service appointments
  • Ensure accurate parts allocation from inventory.

B. Production & Inventory Coordination

  • Confirm availability of parts prior to scheduling shipment or service.
  • Coordinate production schedule for on site repairs or producing repair instructions to pass to the After Sales team.
  • Track shipment status and delivery confirmation.

C. Warranty & Service Material Tracking

Maintain log of:

  • Parts shipped to customers
  • Warranty replacements
  • Service repair material usage
  • Provide data to Quality for trend analysis.

DMR & MRB Participation (Supplier Quality Control)

A. Discrepant Material Reporting (DMR)

  • Support identification and segregation of nonconforming materials.
  • Ensure discrepant materials are properly tagged and quarantined.
  • Assist in documentation of defect details and supplier information.

B. Material Review Board (MRB) Support

  • Participate in MRB meetings as required.

Provide tracking data on:

  • Supplier issues
  • Return material status
  • Replacement timelines

Coordinate disposition actions:

  • Return to supplier
  • Replacement request
  • Rework
  • Scrap

C. Supplier Resolution Coordination

Work with Purchasing to:

  • Initiate RMA processes
  • Track credit issuance
  • Confirm receipt of replacement materials
  • Ensure inventory adjustments are completed in ERP.

Cross-Functional Responsibilities

  • Maintain structured tracking logs (ERP + supplemental tracking if required).

Provide weekly status reporting on:

  • Chassis claims & repair status
  • Open service part orders
  • DMR/MRB open items
  • Escalate risks impacting production schedule or customer delivery.
  • Ensure clean handoffs between departments.
  • Maintain documentation discipline for audit purposes.

Key Performance Indicators (KPIs):

  • Chassis inspection turnaround time
  • Claim resolution cycle time
  • Body repair cycle time
  • After-sales part fulfillment time
  • DMR closure rate
  • Supplier RMA turnaround time
  • Inventory adjustment accuracy
  • Zero lost or untracked material events

Required Qualifications:

  • 3–7 years experience in manufacturing, materials, service coordination, or supply chain
  • Strong organizational and documentation skills
  • ERP experience (NetSuite, Odoo, SAP, etc.)
  • Experience coordinating with external vendors or service providers
  • Strong communication and follow-through


Preferred Qualifications:

  • Experience in automotive, RV, or specialty vehicle manufacturing
  • Familiarity with warranty claim processes
  • Experience participating in MRB/DMR processes
  • Quality systems exposure (ISO-based environments)


Compensation:

  • $20-$22 per hour depending on experience.
