Project Manager, Material Review – Marketing Operations

Pay: $55–65/hour
Duration: 12-month contract
Location: Hybrid in Mettawa, IL - 3 days onsite, 2 days WFH

MANAGER NOTES:

  • The ideal candidate in a nutshell would be Degreed with 5+ years’ experience in Material Review sought - Previous pharma promotional ideal.
  • But really need those innate / intangible skills – outgoing, being comfortable in large corporate environment, with emotional intelligence, relationship building, self-aware, strong communication etc.  Concept review, med reg legal reviews, OEC reviews and more.  Ensuring content is kosher with the FDA.
  • The team is the central hub with a lot of touchpoints, so needs to be very cross-functional.
  • All project management vs execution – managing development in coordination with agencies.

Position Overview

We are seeking an experienced Project Manager, Material Review – Marketing Operations to support the U.S. Commercial Material Review Process (MRP) within a fast-paced pharmaceutical environment. This role will coordinate the review, approval, and execution of advertising, promotional, sales training, and promotional labeling materials while partnering with cross-functional teams to ensure compliance with regulatory and business requirements.

The ideal candidate is a highly organized project manager with pharmaceutical marketing operations experience, strong communication skills, and the ability to manage multiple projects simultaneously while meeting aggressive deadlines.

Key Responsibilities

  • Manage advertising, promotional, sales training, and promotional labeling materials through the U.S. Commercial Material Review Process (MRP).
  • Coordinate cross-functional review and approval activities involving Medical, Regulatory, Commercial, Legal, Compliance, and other key stakeholders.
  • Serve as the primary point of contact for project timelines, material status updates, and workflow coordination.
  • Partner with advertising agencies and internal business partners to ensure timely completion of deliverables.
  • Monitor project milestones, identify risks, and proactively resolve issues to keep projects on schedule.
  • Facilitate communication across cross-functional teams to ensure alignment throughout the review process.
  • Provide tactical project management support and oversight from material initiation through final approval.
  • Train and support stakeholders responsible for uploading, routing, reviewing, and approving materials within the MRP system.
  • Capture, document, and share lessons learned to improve operational efficiency and future project execution.
  • Utilize project metrics and data to monitor performance, drive decision-making, and improve workflow effectiveness.
  • Ensure promotional and non-promotional materials comply with company policies, regulatory requirements, and internal guidelines.

Required Qualifications

  • Bachelor's degree in Business Management, Science, Communications, Education, or a related field.
  • 5+ years of project management experience, preferably within the pharmaceutical, biotech, or healthcare industry.
  • Understanding of the Medical, Legal, and Regulatory (MLR) review process and associated systems.
  • Experience working with promotional, advertising, marketing, or communications materials.
  • Familiarity with Veeva PromoMats or similar material review systems.
  • Experience managing both print and digital marketing assets.
  • Strong project management skills with the ability to balance multiple priorities in a fast-paced environment.
  • Excellent interpersonal and cross-functional collaboration skills.
  • Strong analytical and problem-solving abilities with experience making data-driven decisions.
  • Ability to adapt quickly to changing business priorities and evolving processes.
  • Experience identifying process improvements and implementing lessons learned.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, SmartSheet, and the ability to learn new software applications.

Preferred Qualifications

  • Pharmaceutical commercial operations or marketing operations experience.
  • Experience supporting marketing, communications, or advertising agencies.
  • Working knowledge of Veeva PromoMats and promotional review workflows.
  • Experience coordinating highly regulated promotional materials.
