Delaware Valley University is accepting candidates for Materials Expediter / Facility Coordinator in our Facilities Management Materials department.

Job Summary:

This position is responsible for the daily operation of the Delaware Valley University Facilities Management Materials department, including but not limited to supporting the administrative needs of department management and answering phones for Events, Maintenance and Custodial - all subsections of the Facilities Management department. The Materials Expeditor/Facilities Coordinator is the lead for purchasing, tracking, shipping and receiving of materials for the department, and is also responsible for tracking all purchase requests from origination through completion. This position makes recommendations for appropriate stock selection for supplies, equipment, and other material, as well as for procurement methods. Additionally, this position titles, registers, and tracks repairs for on-campus vehicles and equipment, and maintains the department's EZ Pass accounts. During high volume times, this position provides support to the Maintenance staff (furniture moves, window A/C unit installation and damage remediation). Efficient customer service, good vendor relations and sound inventory management are requirements for this position.

Essential Duties and Responsibilities:

  • Serves as the liaison between the Facilities Management Department and the other University departments such as Purchasing, Accounting and Shipping & Receiving
  • Accounts for all transactions including issuing material, receiving. inventory control.; and determination of stock selection and control methods
  • Meets regularly with the department supervisors to assist with their material procurement needs
  • Accounts for all material transactions
  • Utilizes computerized reports to expedite overdue materials and analyze in-stock quantities
  • Maintains a secure, clean and orderly warehouse
  • Assists with loading and unloading of vendors trucks and operates a forklift truck
  • Checks designated physical inventory locations
  • Answers Facilities and Events Management Phones; i.e. Maintenance & Events
  • Assigns daily workorders and coordinates scheduling with the Maintenance Supervisor
  • Supports Facilities Managers as needed
  • Supports Facilities during high volume times; furniture moves/set ups, window unit installation etc.
  • Manages registration, inspections and EZ Pass of all University vehicles
  • Performs other job-related duties in areas of responsibility as assigned

Required Knowledge, Skills and Abilities:

  • General knowledge of most shop trades consisting of electrical, carpenter, locksmith, painter and plumber. Materials that will be common to this position are in these areas: HVAC systems; electrical systems; water systems; telephone systems; fiber-optic systems and the building and dormitories
  • Mathematical aptitude to facilitate inventory control
  • Skilled in operating various types of material handling equipment
  • Working knowledge of purchase orders, packing slips and capital requisitions
  • Ability to learn to operate a computer terminal
  • Skilled in answering telephones using tact and diplomacy in dealing with inhouse customers
  • Ability to use sound judgment and respond quickly to emergency situations
  • Ability to work in a stressful, high-volume environment with constantly changing priorities
  • Ability to communicate, both orally and in writing
  • Knowledge of the campus and campus locations

Education and Experience:

  • High School Diploma or GED Equivalent
  • Trade or vocational school preferred
  • 5-years of experience in Material Handling or Expediting with experience in one or more of the following Maintenance trades (Electrical, HVAC, or Plumbing) preferred and purchasing/procurement of all facilities materials and services
