As a Medical Assistant - Health Promotions, you will support providers in the Health & Wellness Center while assisting with wellness initiatives, national programs, and administrative activities. This role combines traditional medical assistant responsibilities with support for program coordination, vendor relationships, and training activities.

The ideal candidate is a proactive professional who enjoys taking initiative, solving problems independently, and supporting both patients and healthcare teams. You'll contribute to the success of the Health & Wellness Centers by delivering excellent clinical support, assisting with wellness programs, supporting technology and EMR processes, and helping ensure smooth day-to-day operations.

WHAT YOU'LL DO:

Here's what you can expect on a typical day:

Clinical Support & Patient Care

  • Assist medical staff with routine examinations and treatment of patients.
  • Obtain and record patient information and enter data into the medical record.
  • Perform venipuncture and prepare laboratory specimens and documentation for outside laboratory vendors.
  • Conduct testing associated with periodic health examinations, including EKGs, urine dipstick testing, vision screening, body fat analysis, pulmonary function testing, and other testing as requested.
  • Take vital signs and assist providers during examinations, including telemedicine visits as applicable.
  • Administer flu vaccines and other injections as ordered by providers.
  • Conduct blood pressure screenings onsite and offsite as assigned.
  • Serve as a medical chaperone when requested.
  • Maintain required equipment and safety logs, including AED, oxygen, and refrigerator temperature monitoring.
  • Ensure examination rooms are clean, organized, stocked, and compliant with operational standards.
  • Maintain medical supplies in accordance with department policies.
  • Follow emergency response procedures, including one-rescuer BLS protocols and activation of first responder processes when necessary.
  • Coordinate skin cancer screenings in New Jersey.
  • Perform ergonomic evaluations and document findings in accordance with office policies.
  • Assist with health promotion activities and wellness initiatives.
  • Support other Health & Wellness Center locations as needed.

Front Office & Administrative Operations

  • Greet employees and visitors in a courteous and professional manner.
  • Ensure only authorized individuals have access to the department.
  • Answer telephones and schedule appointments for providers and other healthcare professionals.
  • Promote utilization of the patient portal.
  • Prepare and distribute forms for health programs, screenings, physical examinations, and immunization initiatives.
  • Respond promptly to inquiries and emergency calls, referring matters appropriately to healthcare staff.
  • Coordinate provider schedules, meetings, and departmental activities.
  • Create, register, and maintain employee medical records.
  • Process medical records requests in accordance with established authorization procedures.
  • Maintain organized and current educational materials and information in waiting areas.
  • Maintain the location's SharePoint staff calendar where applicable.
  • Assist with phone coverage and operational support during staff absences.
  • Perform other related duties as assigned.

Technology, EMR & Systems Support

  • Serve as an Elation Super User by attending training sessions and user meetings.
  • Provide basic system support and training to Health & Wellness Center staff regarding practice management, EMR, and patient portal systems.
  • Submit, monitor, and follow up on support tickets through resolution.
  • Assist in managing provider scheduling template changes within the practice management system.
  • Merge charts and maintain data integrity within applicable systems.
  • Support patient portal administration, dashboard updates, account setup assistance, username recovery, and troubleshooting.
  • Assist associates and staff with technology-related questions and user experience concerns.

National Programs & Wellness Coordination

  • Coordinate and support wellness and health promotion programs across multiple Health & Wellness Center locations.
  • Investigate pricing, procure, and coordinate flu vaccine orders for all locations.
  • Serve as a liaison with laboratory vendors, including Quest and LabCorp, to establish accounts and resolve issues.
  • Partner with medical supply vendors to research products, coordinate purchases, and resolve ordering issues.
  • Facilitate special orders and support new office setup activities.
  • Support equipment maintenance agreements, calibration activities, and related vendor coordination.
  • Act as a liaison with Stericycle and maintain compliance activities, agreements, and scheduling requirements.
  • Support first responder programs and coordinate CPR training activities as needed.
  • Act as a resource for procurement activities involving AEDs and related emergency response equipment.
  • Maintain OSHA and Stericycle compliance requirements for the Roseland location.
  • Partner with Risk Management and other stakeholders regarding ergonomic training and related programs.
  • Assist with CLIA licensing support and inquiries.
  • Coordinate annual wellness program supply orders and support wellness challenges and program initiatives.
  • Prepare and distribute monthly wellness program reports.
  • Assist with escalated participant, laboratory, and wellness program issues.

Training & Cross-Functional Support

  • Support onboarding and training of new Medical Assistants across Health & Wellness Center locations.
  • Participate in educational programs and monthly Medical Assistant meetings.
  • Provide coverage at other local NJ Health & Wellness Center locations as needed.

Experience. You have 3+ years of experience in relevant skills gained and developed in the same or similar role.

TO SUCCEED IN THIS ROLE:

  • Successful completion of an accredited Medical Assistant or LPN program required.
  • Certification as a Medical Assistant or LPN through an appropriate accrediting organization is required.
  • 3+ years of Medical Assistant or LPN experience.
  • Experience with Microsoft Word and Excel.
  • Demonstrated ability to work independently with minimal daily oversight.
  • Ability to coordinate multiple activities and priorities in a fast-paced healthcare environment.
  • Strong organizational, communication, and follow-through skills.
  • Advanced computer proficiency and the ability to quickly learn new systems and technology platforms.
  • Ability to handle confidential and sensitive information with discretion.
  • CPR/AED certification required or must obtain certification within six weeks of hire.
  • Willingness and ability to provide support at nearby NJ Health & Wellness Center locations as needed.
  • You'll have a high school diploma OR equivalent.

For additional comfortability in the role:

  • Experience working in an ambulatory care environment.
  • Experience in a corporate healthcare, occupational health, or similar corporate environment.
  • Experience working with electronic medical records (EMR), patient portal technologies, and healthcare practice management systems.
