PRIMARY FUNCTION
The Medical Assistant (MA) delivers direct clinical and administrative support to physicians and healthcare providers within the outpatient clinic setting. Primary responsibilities include preparing performing effective patient care, managing clinical communication, coordinating diagnostic orders and precertification, and ensuring smooth daily clinic workflows. The MA maintains a safe, clean, and well-stocked environment while delivering compassionate, patient-centered care in alignment with organizational standards and regulatory guidelines.

RESPONSIBILITIES AND ACCOUNTABILITIES
  • Set up exam rooms and aids providers with tests, treatments, and minor clinic procedures.
  • Prepares exam rooms daily by stocking required clinical supplies, instruments, and patient care materials.
  • Assist patients during active clinic hours, collecting vital signs and relevant clinical history.
  • Manage and respond to incoming patient messages and phone inquiries daily in a timely, professional manner.
  • Assist providers with reviewing and processing routine medication refill requests according to established clinic protocols.
  • Schedule specialized diagnostic testing (e.g., CT, Ultrasound, MRI, nuclear medicine) as ordered by providers.
  • Obtain necessary prior authorizations and precertification from insurance payers for ordered diagnostic procedures.
  • Transmit orders, clinical documentation, and precertification approvals to the appropriate diagnostic imaging centers or testing facilities.
  • Perform administrative and clerical duties as needed to support clinic operations, including answering multi-line phones, scheduling patient appointments, taking accurate messages, and managing patient charts.
  • Supports the managing of laboratory, imaging, and diagnostic results into the appropriate patient medical records.
  • Contact patients to confirm test dates, times, locations, and provide clear pre-procedure instructions or prep requirements.
  • Performs other job-related duties as assigned by clinic leadership or supervising providers.

JOB SKILLS AND KNOWLEDGE
  • High School Diploma or equivalent required. Graduate of an accredited Medical Assistant program (Diploma or Certificate) required.
  • Basic Life Support (BLS) certification required upon hire. (Current RMA/CMA preferred).
  • Previous clinical experience in an outpatient physician clinic setting preferred but not required.
  • Basic knowledge of direct patient care techniques, clinical workflows, medical terminology, and medical office procedures.
  • Strong verbal and written communication skills; ability to clearly deliver pre-procedure instructions to patients.
  • Exceptional interpersonal skills with the ability to interact courteously, tactfully, and professionally with patients, families, physicians, co-workers, and administrative leadership.
  • Demonstrated ability to manage multiple administrative tasks, insurance precertifications, and scheduling deadlines with high accuracy.
