The Medical Assistant plays a pivotal role in supporting a busy rheumatology practice by creating an efficient patient flow and a welcoming, compassionate environment. This role combines administrative and clinical responsibilities, including daily schedule management, accurate and timely documentation in the electronic health record, and direct support of physicians and advanced practice providers. The Medical Assistant uses critical thinking and problem-solving skills to ensure patients receive timely, professional, and empathetic care during what is often a challenging season in their lives.

Responsibilities

• Record patients' medical histories, vital signs, and other clinical information such as test results in the electronic medical record with accuracy and attention to detail.
• Prepare treatment and examination rooms before each patient visit, ensuring they remain neat, clean, properly stocked, and ready for use.
• Interview patients to obtain medical information and measure vital signs, including blood pressure, weight, and height, in a professional and compassionate manner.
• Escort patients to examination rooms and prepare them for the physician or advanced practice provider, helping them feel comfortable and informed.
• Provide medically appropriate instructions and education to patients under the direction of a physician or advanced practice provider.
• Ensure all relevant patient information, including documentation and test results, is entered and available in the electronic record prior to each appointment.
• Prepare and process FMLA forms, prior authorizations, disability paperwork, referral paperwork, and other back-office documentation such as prescription refills and lab requests.
• Schedule new patient and follow-up appointments using the practice's scheduling software and EMR, helping to maintain an efficient clinic schedule.
• Collaborate closely with other medical assistants and ancillary staff to support smooth clinic operations and coordinated patient care.
• Contribute to a safe and secure environment for patients, visitors, physicians, and coworkers by following established policies, procedures, and legal regulations.
• Use EMR/EHR systems, including Epic, to document encounters, manage orders, and support clinical workflows.
• Apply knowledge of medical terminology, office medical procedures, and treatments to support high-quality patient care.
• Maintain confidentiality of patient information at all times in accordance with legal and organizational standards.
• Demonstrate professionalism, compassion, and composure in high-stress situations while managing multiple changing priorities in an organized manner.
• Report to and communicate effectively with the MA Supervisor regarding workflow, issues, and opportunities for process improvement.

Essential Skills

• GED or high school diploma.
• At least 1 year of experience as a Medical Assistant, including experience and understanding of back-office documentation such as prescription refills, lab requests, FMLA forms, referral paperwork, and related tasks.
• Experience working with electronic medical records (EMR/EHR), with Epic strongly preferred.
• Strong patient care skills and experience providing direct support in a clinical setting.
• Knowledge of medical terminology and common office medical procedures and treatments.
• Ability to accurately measure and document vital signs, including blood pressure, weight, and height.
• Familiarity with infectious disease precautions and safe clinical practices.
• Knowledge of insurance and managed care operations, including use of EMR and scheduling software.
• Excellent interpersonal and communication skills, with the ability to interact effectively with patients, providers, and staff.
• Strong computer skills and comfort working with medical software and electronic health records.
• Ability to maintain a professional, compassionate demeanor in high-stress situations and manage stress with grace and composure.
• Proven ability to manage multiple changing priorities in an effective and organized manner.
• High level of attention to detail and strong organizational skills.
• Commitment to maintaining patient confidentiality and following all legal and organizational requirements.

Additional Skills & Qualifications

• National medical assistant certification is highly preferred; candidates may be in the process of obtaining certification, ideally within 30-60 days.
• Experience with Epic EMR is preferred and considered a strong asset.
• Experience working in a rheumatology or specialty practice environment is beneficial.
• Demonstrated enjoyment in providing compassionate care to patients navigating complex or challenging health conditions.
• Interest in and enthusiasm for growing knowledge of medical, organizational, and administrative practices.
• Ability to work effectively with a diverse patient population and multidisciplinary team.
• Demonstrated reliability, professionalism, and commitment to high-quality patient service.

Work Environment

This position is based in a rheumatology practice in Salem, Oregon, serving patients from the local community and the broader Willamette Valley. The clinic operates Monday through Friday, from 8:30 a.m. to 5:00 p.m., with a 30-minute lunch, offering a stable daytime schedule. Medical Assistants work in a modern outpatient clinical environment that treats a wide range of immune-mediated inflammatory diseases and rheumatologic conditions, including rheumatoid arthritis, lupus, psoriatic arthritis, ankylosing spondylitis, gout, vasculitis, and related disorders. The practice uses electronic medical records and scheduling software, with Epic as the preferred platform, and relies on standard clinical equipment for vital signs, examinations, and office-based procedures. The environment emphasizes high-quality, efficient, and compassionate care, with a strong culture of teamwork, physician engagement, and continuous growth. As a physician-owned practice, the clinic focuses on providing excellent care in an efficient setting, with close collaboration among physicians, advanced practice providers, medical assistants, and ancillary staff. Standard professional clinical attire is expected to maintain a safe, clean, and respectful setting for patients and staff.

Job Type & Location

This is a Contract to Hire position based out of Salem, OR.

Pay and Benefits

The pay range for this position is $22.32 - $29.72/hr.
