SALARY RANGE: 19.18 - 28.77 HOURLY

General Summary:

The Medical Education Assistant provides essential administrative and operational support to the GME and UME programs. This role is integral in ensuring the smooth functioning of the undergraduate medical education, residency, and fellowship programs, assisting with compliance, scheduling, and communication tasks to maintain high standards of medical education.

Responsibilities:

  1. Assist in the daily operations of GME/UME including preparing and maintaining accurate records, reports and documentation related to UME, residency, and fellowship programs.

  2. Manages correspondence including email, phone calls and mail.

  3. Supports the GME Director, GME Operations Manager and UME Coordinator in administration of the UME, Residency and Fellowship programs including onboarding processes, credentialing, and orientations.

  4. Coordinates the GMEC and its subcommittees; collects information for agenda, creates meeting presentation and compiles and disseminates accurate minutes.

  5. Ensure compliance with ACGME standards and other regulatory requirements. Assists in preparation of accreditation documents and reports including monitoring and tracking trainee certifications, visas, and other documentation.

  6. Serves as a point of contact for medical students, residents, fellows, faculty, and other staff regarding GME related inquiries.

  7. Maintain and update GME/UME databases and systems, generates reports, assists with surveys and data collection for continuous improvement initiatives.

  8. Event planning (White Coat Ceremony, Match Day, Awards Ceremony, Welcome Picnic, Orientations, etc.) finds venue, tracks RSVP's, orders food, creates award certificates, handles invoice payments, arranges seating charts, purchases supplies, set up and cleanup of events.

  9. Financial: orders supplies, credit card reconciliation, invoice submissions, liaison between finance and the GME office.

  10. Monitors trainee compliance with handwashing scores, committee memberships, UME sanction checks, and UME evaluation completion.

  11. Oversees the Resident Lounge: orders supplies, restocks, reviews comments left in feedback boxes and sends to appropriate GME leadership, submits appropriate tickets for IT, Plant Operations, and EVS services when needed.

  12. All other duties as assigned within the scope and range of job responsibilities.

Required Education, Credential(s) and Experience:

Required: Three (3) years of administrative experience.

Preferred: Five (5) years of related work experience. Experience in UME/GME setting preferred.
