Job Title: Medical Patient Services Coordinator (Scheduling & Front Desk)

Job Overview
We are seeking a Patient Services Coordinator to support a busy medical office in Blacksburg, VA . This role serves as the first point of contact for patients , providing exceptional customer service while managing scheduling, patient check-in, and administrative tasks.
The ideal candidate will have prior medical front office experience , strong communication skills, and the ability to manage multiple priorities in a fast-paced healthcare environment. This position offers an excellent opportunity to transition into a permanent role with a respected healthcare organization.
Key Responsibilities
Patient Reception & Customer Service
- Professionally greet and welcome patients and their friends/family upon arrival.
- Check in patients and notify clinical staff of patient arrivals.
- Provide and explain necessary paperwork prior to examinations.
- Maintain a professional and organized lobby and reception area.
Phone & Communication Support
- Answer, screen, and route incoming calls to appropriate staff.
- Respond to routine patient inquiries via phone, electronic communication, or in person.
- Relay accurate and timely messages between patients and clinical staff.
- Page clinic personnel as needed.
Scheduling & Coordination
- Schedule patient appointments and manage calendar availability.
- Record patient cancellations and missed appointments and assist with rescheduling.
- Schedule outside consults and procedures ordered by physicians.
- Schedule CT (CAT) scans and PET scans once insurance approvals are received.
Administrative & Documentation Duties
- Collect, review, and scan patient forms for completeness.
- Update patient demographics and insurance information in the system.
- Scan and copy updated insurance cards.
- Collect co-pays and outstanding balances and provide receipts.
- Maintain supplies of forms and office materials.
- Assist with scanning, filing, and routing charts to the appropriate departments.
Compliance & Quality
- Adhere to confidentiality standards, HIPAA regulations, and healthcare compliance guidelines.
- Support the organization’s compliance program and shared values.
- Complete required e-learning courses within 90 days of starting the role.
Required Qualifications
- High School Diploma or equivalent required.
- Minimum 18 months of front medical office or medical receptionist experience .
- Experience working with insurance forms and scheduling software .
- Proficiency with Microsoft Office (Outlook, Word, Excel) and general computer systems.
- Strong customer service and communication skills.
- Ability to handle multiple tasks and shifting priorities in a busy medical office.
Preferred Qualifications
- Experience scheduling diagnostic imaging such as CT or PET scans .
- Familiarity with medical practice workflows and patient scheduling processes.
