Reports To: Administrative Director, Practice Administrator, Practice Owners
The Patient Registration (Front Office) team member is responsible for providing a welcoming, professional experience for patients while ensuring an efficient check-in and check-out process. This role supports daily front office operations, maintains accurate patient information, and delivers excellent customer service with minimal supervision.
Review next day's patient appointments, including insurance verification, required paperwork, and patient balances.
Greet and welcome patients and visitors in a friendly, professional manner.
Assist patients with sign-in procedures and registration paperwork.
Collect, copy, and scan patient identification and insurance information.
Collect copays, coinsurance, and outstanding patient balances according to office procedures.
Update and maintain accurate patient information in the medical record.
Notify medical assistants when patients are ready for triage.
Answer patient questions regarding appointments, scheduling, and wait times.
Respond to visitor questions about office procedures.
Answer and direct incoming telephone calls.
Schedule follow-up appointments and provide appointment reminder cards.
Process patient payments during check-out when applicable.
Follow all HIPAA, compliance, and Employee Handbook guidelines.
Maintain a clean and organized reception area.
Request office supplies from the supervisor as needed.
High school diploma or equivalent required.
Certificate from a medical training program is helpful but not required.
Previous medical office or customer service experience preferred.
Strong customer service and communication skills.
Professional, courteous, and compassionate demeanor.
Ability to multitask in a fast-paced environment.
Basic typing skills.
Ability to learn medical software systems.
Ability to remain calm and organized while handling multiple priorities.
Ability to stand, sit, walk, bend, stoop, and reach throughout the workday.
Ability to lift and move up to 20 pounds.
Ability to reach files or charts above shoulder height.
Occasional evening or weekend hours may be required based on business needs.
Indoor medical office environment with moderate noise levels.
Works both independently and as part of a team.
Occasional travel between office locations may be required to provide coverage or retrieve materials.
This position has access to clinical and financial information necessary to perform job responsibilities and is expected to maintain strict patient confidentiality at all times.
