Summary
Oversees and coordinates the day to day front and back office functions for a clinic practice including assuring smooth and efficient operations, controlling equipment and supply inventory, supervising staff, providing high quality patient service and flow. Performs all front office administrative and clerical duties including handling patient phone calls, reception, scheduling and registration, processing charges/copayments and issuing receipts, record maintenance, and office banking deposits. Performs clinical medical assistant duties including rooming and preparing patients for exams, taking vitals and assisting with diagnostic procedures and treatments.
This role will lead operations for Carson Tahoe Medical Group across five specialty clinics: Oncology, Endocrinology, Rheumatology, Wound Care, and MOM's Clinic.
Qualifications
- High school diploma or equivalent required.
- Medical Assistant certification preferred
- Previous supervisory experience in a medical practice preferred
- Two (2) years progressive experience in a medical environment including experience with the insurance verification and referral process. Clinic practice experience preferred.
- Strong demonstrated computer program skills in practice management programs and Microsoft Office Suite
- Experience working with an Electronic Medical Record
- Knowledge of medical terminology
- Strong verbal and written communication and interpersonal skills
- Ability to manage time effectively and multitask.
- Demonstrated organizational skills to assure follow through on assignments
Essential Functions
- Oversees daily clinic operations, ensuring tasks are completed efficiently, accurately, and in a professional manner.
- Adjusts staffing assignments based on patient volume and operational needs; manages daily coverage and time-off schedules.
- Supervises staff, including onboarding, training, scheduling, performance evaluations, and disciplinary actions in collaboration with the Practice Manager.
- Coordinates provider schedules, including templates, time-off tracking, and final schedule review/approval.
- Ensures compliance with all regulatory, organizational, and quality standards; participates in performance improvement initiatives.
- Addresses and resolves operational issues, staff concerns, and patient complaints in accordance with policy.
- Supports recruitment efforts, including interviewing, hiring recommendations, and onboarding of new staff.
- Manages administrative and financial functions such as timecard approvals, petty cash, deposits, and supply ordering.
- Collaborates with leadership to develop, implement, and improve clinic policies, procedures, and workflows.
- Provides front and back office support as needed, including patient intake, scheduling, documentation, and coordination of care.
